Key Responsibilities Customer Communication \& Lead Conversion
- Answer inbound calls, emails, and messages from homeowners promptly and professionally.
- Convert incoming service inquiries into scheduled appointments.
- Educate customers on HVAC services (repairs, maintenance, installations).
- Use strong communication and persuasion skills to maximize booking rates.
- Conduct outbound follow\-ups on unscheduled estimates and service opportunities.
- Schedule service calls and installations efficiently.
- Coordinate with technicians to optimize daily routes.
- Confirm appointments and maintain organized dispatch records.
- Update CRM system with accurate customer information and call notes.
- Identify opportunities to upsell maintenance plans, IAQ products, or system upgrades.
- Follow up on open estimates to help close sales.
- Promote seasonal specials and company promotions.
- Help improve conversion rates and overall customer satisfaction.
- Maintain accurate records in CRM.
- Process payments and assist with invoicing.
- Handle data entry and documentation.
- Support office operations as needed.
- Fluent in English (Spanish bilingual is highly preferred).
- Strong phone presence and friendly, confident personality.
- Proven ability to convert leads into scheduled appointments.
- Sales experience (HVAC or home services preferred).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Basic proficiency in Microsoft Office (Word, Excel).
- Comfortable handling high call volume.
- Experience in residential HVAC industry.
- Call center or dispatch experience.
- Experience with ServiceTitan or CRM systems.
- Knowledge of HVAC terminology (furnace, condenser, coil, refrigerant, maintenance plans, etc.).
