Duties
- Provide comprehensive executive administrative support to senior leaders, including calendar management, travel arrangements, and correspondence handling using tools like Microsoft Outlook Calendar and Google Workspace
- Coordinate and assist with planning and executing events, meetings, and special functions to ensure flawless delivery and guest satisfaction
- Manage office operations efficiently by overseeing filing systems, data entry, bookkeeping using QuickBooks, and maintaining office supplies
- Handle multi\-line phone systems with professionalism, practicing excellent phone etiquette while directing calls or taking messages accurately
- Perform clerical tasks such as proofreading documents, transcription of notes, and preparing reports with precision
- Support project coordination efforts by tracking deadlines, preparing agendas, and ensuring timely completion of tasks
- Maintain excellent customer service standards at the front desk or reception area by greeting visitors warmly and managing inquiries effectively
- Proven experience in executive administrative support within a hospitality or office setting
- Strong organizational skills with the ability to multitask efficiently in a fast\-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools
- Familiarity with QuickBooks for bookkeeping and financial record\-keeping
- Excellent typing speed combined with transcription skills for accurate documentation
- Knowledge of event planning logistics from conceptualization to execution
- Exceptional phone etiquette skills across multi\-line phone systems and customer service experience
- Ability to proofread documents carefully while maintaining high attention to detail
- Office management expertise including filing systems, office supplies inventory, and front desk responsibilities
- Experience with project coordination tools such as DocuSign for document signing processes
