Job Summary

We are seeking a dynamic and highly organized Executive Administrative Assistant/Personal Secretary to provide comprehensive support to an executive within our family office, Hunter Lewis LLC. The candidate will be responsible for coordinating events and meetings, scheduling appointments, overseeing travel plans, managing personal correspondence, and running errands as needed. The candidate will work closely with our executive to manage a wide range of administrative tasks. Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide executive administrative support by preparing reports, correspondence, and presentations with excellent proofreading and transcription skills.
  • Coordinate projects and events from planning stages through execution, ensuring all details are handled efficiently.
  • Handle incoming calls with professional phone etiquette, directing inquiries appropriately across multi\-line phone systems.
  • Oversee office management duties including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
  • Assist with personal tasks for executives such as scheduling appointments, managing personal correspondence, and running errands as needed.
  • Conduct clerical duties such as photocopying, faxing, organizing files, and maintaining office supplies inventory.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) to produce high\-quality documents and presentations.
  • Perform data entry tasks accurately while managing confidential information discreetly.
  • Support event planning efforts including logistics coordination for meetings or company functions.
  • Qualifications

  • Proven experience as an executive administrative assistant or personal secretary with strong office management background is a plus.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
  • A congenial, positive attitude and the ability to work well with others
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace tools, QuickBooks, and familiarity with DocuSign for electronic signatures.
  • Strong typing skills coupled with transcription and proofreading abilities to produce error\-free documents.
  • Knowledge of bookkeeping practices and basic accounting principles is a plus.
  • Exceptional communication skills—both verbal and written
  • Willingness to travel for work
  • Ability to manage multiple projects simultaneously while maintaining attention to detail.
