Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi\-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with clarity and professionalism
  • Maintain organized filing systems, data entry records, and manage document proofreading for accuracy
  • Support office management tasks such as calendar scheduling, appointment setting, and basic bookkeeping using QuickBooks or similar software
  • Assist with administrative support including copying, scanning, faxing, and managing office supplies
  • Coordinate with team members to facilitate smooth daily operations and ensure timely completion of tasks
  • Requirements

  • Proven office experience or clerical background with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent computer literacy with the ability to learn new software quickly
  • Prior experience as a medical or dental receptionist is a plus but not required
  • Strong phone etiquette skills with experience managing multi\-line phone systems
  • Exceptional customer service skills with a friendly yet professional demeanor
  • Ability to handle multiple tasks efficiently while maintaining attention to detail and accuracy in data entry and proofreading
  • Experience in office management or administrative support roles such as personal assistant or receptionist roles is preferred
