St. Francis de Sales Catholic Parish, located in Abingdon, MD, is seeking an Administrative Assistant to join our team. This role provides a welcoming and professional presence for all who interact with the parish office and serves as a key member of the administrative team. The Administrative Assistant works closely with the Parish Office Manager and the Director of Operations to support daily parish operations and often serves as the first point of contact for parishioners, visitors and callers. The scheduled weekly hours are 16: 9:00 am \- 4:00 pm, 2 days a week.
Essential Functions
- Provide front\-office support, including greeting visitors, distributing mail, answering incoming telephone calls, providing courteous, helpful assistance and directing inquiries to the appropriate staff as needed.
- Assist with VIRTUS compliance by monitoring completion of required training for adults and minors and maintaining records.
- Enter Sacraments in the Sacramental Record book and Ministry Platform, and prepare sacramental certificates as requested, ensuring accuracy and timeliness.
- Assist with Ministry Platform database management, including data entry, record updates, and participating in ongoing training to maintain proficiency.
- Assist with creation, editing, and management of content for print and digital communications, following guidance to ensure alignment with Parish messaging.
- Familiar with the Parish Calendar, coordinating schedules, confirming details with external groups, and assisting with facility set\-up logistics and equipment need logistics.
- Provide general administrative support to the Pastor and core leadership team, including preparing correspondence and materials for meetings as requested.
- Records minutes at the staff meetings, types them up and distributes them to staff.
- Coordinating Communion for the Homebound parishioners.
- Assists with the Columbarium sales and documenting.
- Other duties as assigned.
- High school diploma required; college degree preferred.
- Self\-starter with strong initiative and resourcefulness, able to anticipate needs, solve problems creatively, and learn on the job.
- Excellent written and verbal communication skills, with proven ability to prioritize responsibilities and work effectively both independently and collaboratively.
- Maintains a high standard of professionalism and confidentiality, with a commitment to treating all individuals and communities with respect and fairness.
- Proficiency with Office 365 products, and familiarity with database management systems.
- Familiarity with Design software a plus.
- Preferable Roman Catholic with knowledge of Church teaching and a demonstrated commitment to supporting the mission of the Church.
Position Qualifications
Pay Range: $16\.50, Hourly
