We are a bilingual patient\-focused office seeking a motivated,and highly organized Front Desk Receptionist to be the welcoming face to our multi\-specialty office serving both Family Medicine and Podiatry patients. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Carla Aldaz, MSN, FNP, ANCC\-BC, specializes in advanced primary\-family practice care. She is a certified trauma nurse and critical care specialist with a background in surgery, emergency medicine, cardiovascular diseases, wound care, and aesthetic medicine.
Foot and ankle surgeon Devin Bland, DPM, specializes in foot\-related conditions such as Charcot reconstruction, trauma, injuries, flat feet, hammertoes, diabetic wounds, fractures, Achilles tendon ruptures, and all general foot care.
Responsibilities
- Greet and check in/check out patients in a professional and welcoming manner.
- Verify and update patient demographics and insurance information.
- Collect co\-pays, deductibles, outstanding balances, and surgical deposits.
- Provide appointment reminders and follow\-up scheduling.
- Maintain strict HIPAA compliance.
- Scheduling \& Coordination
- Schedule routine family practice visits (physicals, chronic care, sick visits, wellness
- exams).
- Schedule podiatry appointments, in\-office procedures, and surgical cases.
- Coordinate referrals and obtain prior authorizations.
- Assist with workers’ compensation cases when applicable.
- Communicate pre\- and post\-procedure instructions to patients.
- Verify eligibility for Medicare, Medicaid, and commercial plans.
- Manage multi\-line phone systems and triage calls appropriately.
- Scan and upload documentation into EMR.
- Prepare daily payment reconciliation and end\-of\-day balancing.
- Proven experience in office management, clerical work, or as a receptionist in a fast\-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Exceptional customer service skills with a professional demeanor and strong phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with data entry, proofreading, filing systems, and basic bookkeeping is preferred
- Knowledge of front desk procedures specific to medical or dental offices is a plus
- Personal assistant or medical receptionist experience is advantageous for this role
- High school diploma or equivalent
