Overview

I’m seeking a highly organized, proactive assistant to support me with executive\-level administrative and personal logistics. This is a precision role, not a task\-dumping role. You’ll help reduce mental load, streamline communication, and keep priorities moving.

Key Responsibilities:

Administrative Support: Schedule events, appointments. Maintain organized records and databases for clients and properties.

  • Email triage (flag, draft, organize, follow up)
  • Calendar management (confirmations, buffers, reminders)
  • Social Media Posts
  • Lead Generation
  • Create Maintain Marketing Plans
  • Planning/Executing Events to promote businesses
  • Website Updates
  • Tracking follow\-ups (clients, vendors, personal)
  • Organizing documents, links, and notes
  • Database management and Data Analysis
  • Weekly priority check\-ins and summaries
  • Light, approved research only

  • Requirements

  • Proven executive or senior administrative experience
  • Excellent written communication
  • Strong judgment and discretion
  • Comfortable with time tracking
  • Detail\-oriented and proactive
  • Experience in Real Estate a plus
  • Tools Used

  • Email (Gmail or Outlook)
  • Google Docs/Drive
  • Toggl or Clockify (required)
  • Calendar tools
  • Wix
  • HubSpot or other CRM Tool

Important

This role is capped at 6 hours per week. Time tracking is required—not for micromanagement, but to maintain clarity and budget discipline.
