  • This position coordinates the Prison Education and Community Reentry program department by providing critical administrative oversight for the College Inside Associate Degree program. The position is based in Salem, on Chemeketa’s campus, but requires weekly travel and student services in each of the three local prisons where Chemeketa delivers educational services to adults in custody pursuing an AAOT/AGS Degree. The successful applicant will be reliable and conscientious with a strong attention to details and interest in working with this population. This position reports directly to the Program Director and will also interact with our contracting agency, the Oregon Department of Corrections, on a regular basis requiring a professional demeanor and timely response.

    DUTIES \& RESPONSIBILITIES

  • Instructional \& Student Support

  • Holds advising sessions with currently enrolled and potential new students to answer academic and career questions.
  • Serves as the primary contact for our incarcerated students’ questions, requests, and concerns
  • Coordinates response with appropriate campus, Department of Corrections, and community resources
  • Observe and recommend program changes that could strengthen student success
  • Interpret and enforce provisions of state education codes and rules and regulations of state education boards
  • Conduct and/or participate in workshops, committees, and conferences designed to promote the intellectual, social, and physical welfare of students
  • Recommend the purchase of instructional materials, supplies, equipment, etc. To meet student educational needs
  • Complete DOC processes for classroom reservations, callouts for student attendance, visitor Authorization, materials delivery permissions, etc.
  • Provide back\-up coverage in our three prisons for our College Inside Instructors and staffing the student computer labs
  • Deliver grades, degree audit reports and commendations to students each term
  • Is primarily responsible for processing Financial Aid paperwork including load default and communication with the Department of Education
  • Coordinates with Financial Aid office and develops and uses tracking templates and checklists to reduce verification errors
  • Provides educational transition support to students nearing release
  • Facilities necessary student accommodations as needed
  • Address student concerns and instructor needs, including attendance or conduct issues in coordination with the Program Director
  • Coordinate student outreach, recruitment, application processing, and new student orientation
  • Transfers materials, including textbooks, between campus and institutions
  • Administrative System Coordination \& Reporting

  • Develop, implement, and coordinate a part\-time faculty system that includes, but is not limited to the following: student evaluations, syllabus collection, tracking and scheduling, new part\-time faculty orientation, textbook coordination and regular communication with part time faculty
  • Coordinate activities of program clerks engaged in cataloging, distributing, and maintaining educational materials
  • Assist in the hiring of program clerks
  • Develops and provides reports as required including an Access data tracking system to create quarterly reports for Director, donors, and Department of Corrections (DOC)
  • Maintains records related to enrollment, student success and retention
  • Communicates with Program Assistant to ensure efficient administration of program (Banner data entry completed, contract generated, workload monitoring, ID credentials are current)
  • Class Offerings/Curriculum

  • Monitors course enrollment and student census
  • Works with the Director to analyze needs and coordinate class offerings; assists with and makes recommendation for scheduling and assignment of classes
  • Works collaboratively with Director to develop and/or revise program plans; analyze curriculum needs
  • Program Responsibilities

  • Provides information and assistance to staff and students regarding department programs; fosters collaborative communication among department staff
  • Serves as a role model; upholds the college's teaching and learning values; fosters innovation, partnership and professionalism among faculty, staff, and students
  • Attends appropriate meetings and conferences, and may serve on committees as requested be Executive Director
  • Address public audiences to explain program objectives and elicit support
  • Create and distribute quarterly newsletter to donors and DOC institutions

    Minimum Qualifications:

    This level requires an equivalency of two (2\) years of full\-time work experience that reflects the knowledge, skills and experience to perform the essential functions listed above.

    This is typically achieved through an Associate’s Degree or two (2\) years of full\-time work experience which reflects the knowledge, skills and experience to perform the essential functions listed above.

    The college will review relevant education and experience as equivalent in most cases. Some experience cannot be exchanged for education and is noted above, if relevant. Core Competencies:

  • Ability to oversee multi\-faceted projects
  • Demonstrated ability to work in an independent manner
  • Computer skills that include proficiency in MS Office Suite and extensive experience in Excel and Access
  • Ability to communicate effectively orally and in writing with a diverse population of employees, students, and external contracts

  • Bicultural/multicultural skills sufficient to select appropriate behaviors, values and attitudes within different cultures during interactions with others
  • Preferred Qualifications:

  • Experience in a high\-volume office with data analysis, educational administration, project coordination or other related fields
  • Academic coursework in educational administration, education or related field
  • Experience delegating work and managing multiple projects concurrently
  • Experience using a wide range of functions in the Banner Database and information systems
  • Experience working in an educational role within corrections
  • A sound understanding of the community college learning environment and commitment to the comprehensive community college mission

  • SCHEDULE \& MODALITY

    This position is not eligible for remote/hybrid work.

    TERMS OF EMPLOYMENT

  • This is a 100%, 12\-month classified assignment at pay level 16
  • This position has a 6\-month probationary period
  • All positions at Chemeketa are required to be available for work onsite as requested by the college.
  • Requires flexible work schedule to meet program needs, which may include evenings and/or weekends
  • This position may require the use of your personal vehicle for transportation between campus locations
  • If requested, requires the provision of official transcripts upon hire
  • Employees must maintain Oregon, Washington or Idaho residency as a condition of employment.

  • PHYSICAL REQUIREMENTS

    Medium Work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects. Requires going up stairs and carrying textbooks and other supplies between institutions. One of the three institutions has stairs with no accessibility.
