Position Overview

We are seeking a highly experienced Executive Administrator (Contractor) who has a proven track record of directly supporting CEOs and executive leadership. This individual will serve as a strategic right hand to the CEO, operating as a trusted partner who can anticipate needs, manage multiple priorities simultaneously, and take initiative on high\-level organizational projects.

This is not an entry\-level administrative role. The ideal contractor is confident managing executive operations, streamlining systems, leading internal coordination efforts, and ensuring the CEO’s time is protected and optimized.

This role will work closely with the Office Administrator and Management Team to strengthen internal systems, improve workflow efficiency, and keep the business organized and operating at a high level.

Core ResponsibilitiesExecutive Support \& CEO Partnership

  • Proactively manage and optimize the CEO’s calendar, including scheduling, prioritization, and meeting preparation
  • Oversee inbox management, email drafting, follow\-ups, and communication filtering
  • Prepare meeting briefs, agendas, and executive summaries
  • Anticipate executive needs and resolve scheduling or operational conflicts independently
  • Serve as a gatekeeper while maintaining professionalism and discretion
  • Organizational \& Operational Leadership

  • Assist in leading internal organizational projects that improve business structure and efficiency
  • Help streamline workflows between departments and leadership
  • Develop and refine internal systems for communication, documentation, and accountability
  • Maintain organized digital file structures and ensure operational consistency
  • Identify inefficiencies and implement process improvements
  • Project Oversight \& Coordination

  • Take the lead on multiple internal initiatives from planning to execution
  • Coordinate timelines and deliverables across team members
  • Track progress and provide regular updates to leadership
  • Support cross\-functional collaboration between the CEO, Office Admin, and management team
  • Ensure follow\-through on key priorities and deadlines
  • Client \& System Management

  • Maintain organized client records and onboarding workflows
  • Support client communication tracking and follow\-ups
  • Utilize systems such as Dubsado, Monday, and Google Drive to manage documentation and task coordination
  • Assist in maintaining dashboards and progress tracking tools
  • Required Qualifications

    * 3\+ years of experience directly supporting CEOs or executive leadership

  • Demonstrated ability to manage multiple priorities in a fast\-paced environment
  • Strong organizational leadership skills with the ability to take initiative
  • Exceptional written and verbal communication skills
  • High level of discretion, professionalism, and executive presence
  • Experience collaborating with management teams and cross\-functional departments
  • Proficiency in Google Workspace
  • Experience using Dubsado and Monday (or similar CRM/project management platforms)
  • Ability to work independently with minimal supervision

Position Details

* Type: Independent Contractor

* Hours: 10–15 hours per week

* Location: Hybrid, Must Live in Charlotte NC

Compensation: Based on experience

Pay: $18\.00 \- $20\.00 per hour
