Administrative Assistant / Booking Concierge

This is not just an admin role. It is a core position inside the booking and operations engine of a market\-leading company.
Schedule
Full\-time rotating schedule.
Shifts:
Early: 8:00 AM – 4:30 PM
Late: 11:30 AM – 8:00 PM
Rotating weekends off (structured and fair across the team).
Evening shifts include incentive premium pay.
Weekend availability is required.
What You’ll Be Doing
Guest Communication \& Booking Support
Answer and return phone calls, texts, and emails from guests and prospective customers quickly and professionally
Guide guests to the right experience (trip matching, upgrades, private charter options, special occasions, group needs)
Turn inquiries into confirmed bookings through confident communication and consistent follow\-up
Send pre\-arrival details that elevate the experience
Handle booking adjustments, reschedules, and guest\-specific requests with calm efficiency
Recover abandoned inquiries and prevent lost revenue through rapid callbacks and quote follow\-up
Operations \& Daily Coordination
Monitor schedules and booking flow to ensure trips are properly staffed and set up for success
Coordinate key details with the dock/crew team as needed (guest notes, timing changes, special requests)
Maintain accurate manifests, waivers, and guest documentation
Keep internal notes clean and organized so the entire team stays aligned
Assist with team scheduling coordination and operational communication when needed
Marketing \& Content Support
Respond to social media comments and DMs
Help keep our social media accounts up to date with new photos, stories, and guest highlights
Track guest feedback and support marketing initiatives aimed at improving guest experience
Reporting, Systems \& Process Improvement
Maintain internal SOPs and help improve systems as the company grows
Support basic spreadsheet reporting and operational tracking (recurring issues, guest feedback trends, booking sources)
Identify friction points in the guest experience and propose solutions

Full\-time availability including weekends (rotating schedule)
Ability to work both independently and within a team
Strong written and verbal communication skills
High level of organization and attention to detail
Comfortable using software systems and learning new platforms
Reliable transportation for on\-site shifts
Professional and polished communication style
Preferred Experience
Sales or booking conversion background
Hospitality or guest services experience
Office or administrative experience
Experience with scheduling software or CRM systems
Spreadsheet proficiency (Excel or Google Sheets)
