Job Summary

We are seeking a dynamic and organized Administrative Assistant to join our team! Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi\-line phone systems, handle incoming calls with courteous phone etiquette, and direct inquiries efficiently
  • Maintain accurate data entry records using computer skills, including Microsoft Office and Google Workspace applications
  • Organize and file documents systematically, ensuring easy retrieval and compliance with record\-keeping standards
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events to optimize office productivity
  • Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks data entry to ensure financial accuracy
  • Provide customer support by responding promptly to inquiries via phone or email, demonstrating excellent customer service skills
  • Skills

  • Proficiency in office management tools including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
  • Strong organizational skills with the ability to multitask efficiently in a fast\-paced environment
  • Excellent verbal and written communication skills; bilingual abilities are a plus for serving diverse clients
  • Experience with clerical tasks such as proofreading documents, data entry, filing, and record maintenance
  • Knowledge of office equipment operation including multi\-line phones, fax machines, printers, and scanners
  • Familiarity with medical or dental receptionist duties is advantageous but not required
  • Personal assistant experience or office experience that demonstrates time management and prioritization skills
