Job Overview

We are seeking a dynamic and organized Secretary/Receptionist to serve as the welcoming face and administrative backbone of our office. Duties

  • Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression.
  • Manage multi\-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette.
  • Schedule appointments, coordinate calendars, and manage meeting arrangements using Microsoft Office and Google Workspace tools.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records.
  • Handle incoming correspondence, emails, and inquiries promptly while providing exceptional customer service support.
  • Assist with office management tasks such as supply inventory, maintaining cleanliness, and ensuring the office environment is welcoming.
  • Support bookkeeping activities using QuickBooks or similar software when necessary, including basic data entry and record keeping.
  • Experience

  • Proven office experience or clerical experience demonstrating strong organizational skills and attention to detail.
  • Familiarity with front desk operations, multi\-line phone systems, and customer service best practices.
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools.
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members.
  • Experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant experience is also valuable.
  • Strong typing skills with a focus on accuracy; proofreading skills are essential for maintaining professional documents.
