Job Overview

We are seeking a highly organized and professional Administrative Assistant to support our team with daily office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency in various software tools. The Administrative Assistant will play a vital role in maintaining efficient office workflows, managing schedules, and providing exceptional support to staff and clients alike.

Duties

  • Manage front desk responsibilities, including greeting visitors and handling inquiries
  • Operate multi\-line phone systems with professionalism and courtesy, utilizing proper phone etiquette
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Handle correspondence via email and phone, providing excellent customer support and service
  • Maintain office supplies inventory and coordinate office management tasks
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software as needed
  • Support personal assistants or medical reception duties when required
  • Manage incoming mail and outgoing deliveries efficiently
  • Support team with clerical tasks such as typing reports, organizing files, and maintaining records
  • Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to multitask effectively
  • Excellent written and verbal communication skills with professional phone etiquette
  • Experience with office management systems, data entry, filing, and proofreading
  • Bilingual abilities are a plus for effective communication with diverse clients or staff
  • Familiarity with QuickBooks or bookkeeping software is desirable
  • Prior office experience in administrative or clerical roles preferred
  • Strong computer literacy and familiarity with office equipment such as multi\-line phones and printers
  • Time management skills to prioritize tasks efficiently
  • Personal assistant or medical receptionist experience is advantageous but not required
