Overview

We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with exceptional administrative and operational assistance. Responsibilities

  • Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Provide comprehensive executive administrative support by handling correspondence, preparing reports, proofreading documents, and managing transcription tasks.
  • Organize and oversee office operations such as filing systems, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Facilitate project coordination by tracking deadlines, preparing agendas for meetings, taking minutes, and following up on action items.
  • Handle multi\-line phone systems with professionalism, practicing excellent phone etiquette while directing calls efficiently.
  • Support event planning efforts for company functions or meetings by coordinating logistics, managing invitations, and overseeing execution details.
  • Perform clerical duties including filing, data entry, proofreading documents for accuracy, and maintaining organized digital and physical files.
  • Assist with personal tasks as needed to support leadership’s work\-life balance while maintaining confidentiality at all times.
  • Qualifications

  • Proven experience as an executive assistant or in a similar administrative role with a strong background in office management and clerical support.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with Office management tools like QuickBooks and DocuSign.
  • Strong typing skills along with experience in transcription and proofreading to ensure accuracy in all documents.
  • Exceptional communication skills with professional phone etiquette across multi\-line phone systems.
  • Demonstrated ability to coordinate projects efficiently from inception to completion while managing multiple priorities simultaneously.
  • Knowledge of bookkeeping practices including data entry and basic financial record keeping using QuickBooks or similar software.
  • Experience supporting executives or high\-level professionals with calendar management and personal assistance tasks.
