We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with exceptional administrative and operational assistance. Responsibilities
- Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Provide comprehensive executive administrative support by handling correspondence, preparing reports, proofreading documents, and managing transcription tasks.
- Organize and oversee office operations such as filing systems, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
- Facilitate project coordination by tracking deadlines, preparing agendas for meetings, taking minutes, and following up on action items.
- Handle multi\-line phone systems with professionalism, practicing excellent phone etiquette while directing calls efficiently.
- Support event planning efforts for company functions or meetings by coordinating logistics, managing invitations, and overseeing execution details.
- Perform clerical duties including filing, data entry, proofreading documents for accuracy, and maintaining organized digital and physical files.
- Assist with personal tasks as needed to support leadership’s work\-life balance while maintaining confidentiality at all times.
- Proven experience as an executive assistant or in a similar administrative role with a strong background in office management and clerical support.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with Office management tools like QuickBooks and DocuSign.
- Strong typing skills along with experience in transcription and proofreading to ensure accuracy in all documents.
- Exceptional communication skills with professional phone etiquette across multi\-line phone systems.
- Demonstrated ability to coordinate projects efficiently from inception to completion while managing multiple priorities simultaneously.
- Knowledge of bookkeeping practices including data entry and basic financial record keeping using QuickBooks or similar software.
- Experience supporting executives or high\-level professionals with calendar management and personal assistance tasks.
