PRIMARY FUNCTION/RESPONSIBILTY
The Training Compliance Specialist will provide essential support to the Training Compliance Supervisorby managing administrative tasks, coordinating training schedules, tracking compliance, and ensuring smooth communication between stakeholders. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Assists in entering, reviewing, and analyzing FCL data in ADP for monthly and quarterly reporting.
- Assists in tracking overdue training courses and sending weekly follow\-ups, escalating unresolved cases.
- Assists in maintaining accurate training records in the Learning Management System (LMS), including entering completions, updating due dates, and uploading certificates.
- Provides support for LMS users to ensure seamless access to training for all programs. Cross\-checks training reports to verify training attendance and identify discrepancies.
- Supports data entry, spreadsheet maintenance, and record clean\-up projects to ensure database accuracy.
- Works closely with Data, Legal, and HR teams regarding FCL reports.
- Gathers training rosters and prepares, format, and distributes compliance reports as directed.
- Assists in setting up classrooms for training sessions.
- Monitors the training team’s shared inbox, triaging inquiries, and routing requests appropriately.
- Sends reminder\-emails to staff regarding upcoming or overdue training deadlines using established templates.
- Files and organizes digital and hard copy documentation in accordance with licensing and contractual requirements.
- Creates new hire training schedules for New Employee Orientation (NEO).
- Delivers the compliance onboarding process for new hires, introducing the organization’s culture of compliance, ensuring access to learning platforms, and providing a clear understanding of training requirements and timelines.
- Supports onboarding processes and presentations to ensure new hires receive proper training access and documentation.
- Assists in creating Relias, DFPS Portal, and CJIS accounts for new hires.
- May assist in designing and developing engaging training curricula tailored to diverse staff roles.
- May facilitate some pre\-service courses (in\-person or virtual).
- Enter knowledge assessments in Relias and conduct annual reviews to improve content.
- Provides weekly reports to the Director of TPD and senior leadership with actionable recommendations to mitigate risks.
- Ensures data accuracy by monitoring employees’ attendance in training sessions, collaborating with trainers to address discrepancies, and crediting participation accordingly.
- Supports other programs with compliance\-related activities.
- Assists with COA training standards for accreditation.
- Performs other administrative duties to support the Training Compliance team as assigned.
- Bachelor’s degree from an accredited college or university in social services, human resources, education, business administration; or equivalent combination of education and relevant experience.
- 2 years’ experience in adult training or educational program development.
- Tech\-savvy with strong general computer skills and the ability to quickly learn new systems, software, and Learning Management Systems.
- Proficiency in Microsoft Office (Excel, Word, Outlook, Teams, etc.)
- Strong data entry, spreadsheet, and database management skills with a high level of accuracy and attention to detail.
- Valid Texas Driver’s License, safe driving record, ability to provide own transportation and proof of current automobile insurance.
- Familiar with Relias LMS.
