POSITION SUMMARY

At Hawai‘i Foodbank, we believe that equitable access to safe, healthy food is a fundamental human right. Through Kūpuna Programs, we support older adults statewide in strengthening food security and well\-being.

The Kūpuna Programs Assistant provides day\-to\-day administrative and operational support for senior\-focused initiatives, including CSFP, SFMNP, Kūpuna Fresh, and Kūpuna Pantry distributions. This role supports program delivery through distribution assistance, participant data entry, documentation, and routine communication with program partners and participants.

The Assistant works closely with the Kūpuna Programs Coordinator and the Director of Kūpuna Programs to ensure smooth operations, accurate recordkeeping, and consistent service to kūpuna across Hawai‘i.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Support day\-to\-day distribution operations for Senior Food Box (CSFP), Kūpuna Fresh, and other Kūpuna Programs, including site setup, participant check\-in, assisting volunteers onsite, and ensuring a safe and efficient distribution flow through breakdown and cleanup.
  • Manage and process routine program administrative paperwork, including participant applications, eligibility documentation, recertifications, sign\-in sheets, and required compliance forms and materials for partner sites.
  • Maintain accurate participant and distribution records through timely data entry and tracking in program databases.
  • Assist with monthly CSFP packing events by supporting logistics, volunteer flow, and packing accuracy to ensure successful operations.
  • Provide excellent customer service and foster positive working relationships with volunteers, program partners, and the kūpuna served, responding to inquiries and supporting smooth program delivery.
  • OTHER FUNCTIONS \& ORGANIZATIONAL RESPONSIBILITIES

  • Participate in Hawai‘i Foodbank events as needed, such as Annual Food Drive Day and the National Association of Letter Carriers (NALC) Food Drive.
  • Comply with all federal, state, and company policies, procedures, and regulations.
  • Maintain confidentiality and adhere to ethical standards in handling sensitive program and participant information.
  • Take on additional duties, projects, or responsibilities as assigned, including those that support the goals of the department and the broader mission of Hawai‘i Foodbank.
  • QUALIFICATIONS

  • EDUCATION and/or EXPERIENCE

  • Two (2\) years of college and/or two (2\) years of related experience and/or training in administrative support, human services, or community programs, or an equivalent combination of education and experience. Nonprofit experience is preferred.
  • LANGUAGE SKILLS

  • Strong verbal and written communication skills are essential. Ability to read, analyze, and interpret general business correspondence, policies, and procedures. Ability to write clear, professional emails and program documentation, and to effectively present information and respond to questions from program participants, distribution partners, colleagues, and community stakeholders in one\-on\-one and group settings. Must be able to communicate with cultural sensitivity and adapt messaging to a variety of audiences.
  • MATHEMATICAL SKILLS

  • Ability to perform basic mathematical functions necessary for program tracking, inventory reconciliation, and reporting. This includes the ability to add, subtract, multiply, and divide using whole numbers, decimals, and percentages. Must be able to track distributions, calculate totals, and assist in preparing reports that include numerical summaries. Familiarity with spreadsheets and basic data analysis is required.
  • EQUIPMENTAND TECHNOLOGY REQUIREMENTS

  • Proficiency in using standard office equipment and technology to complete tasks efficiently. This includes a computer workstation, laptop, printer, scanner, and multi\-line telephone system. Strong computer literacy is required, including proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Familiarity with cloud\-based tools such as Google Workspace (Docs, Sheets, Drive), and comfort using video conferencing platforms (e.g., Zoom or Microsoft Teams) is preferred. An insured vehicle, valid driver’s license, and a clean driving record are required for work\-related travel.
  • PHYSICAL DEMANDS

  • Ability to lift and carry at least 40 pounds.
  • Capacity to participate in distribution events and other activities that may occur indoors or outdoors in varying weather conditions.
  • WORK ENVIRONMENT

    The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

  • Requires regular use of computers, mobile devices, and telephonic equipment in an office or remote work setting.
  • Requires driving for off\-site day, evening, and weekend meetings and events as needed or assigned.
  • Exposure to warehouse and distribution settings, including loading areas and community distribution sites
  • Noise levels may vary from quiet in office settings to moderate or loud in warehouse and event environments.
  • Must be able to adapt to changing work environments, both indoor and outdoor, and maintain professionalism in a variety of community settings.
