Job Overview An established residential home\-improvement company in Jacksonville is seeking an experienced, highly organized Project Operations Coordinator. This person will oversee customer projects from the completed sale through permitting, product ordering, scheduling, installation, service, and final completion. The position requires someone who can manage numerous active projects, customers, vendors, deadlines, and schedules simultaneously. This is not a basic receptionist or data\-entry position. The successful candidate must take ownership of the process, anticipate problems, communicate effectively, and follow every task through to completion. PRIMARY RESPONSIBILITIES ● Manage and monitor projects from the completed sale through installation and final completion ● Review project paperwork for completeness and accuracy ● Maintain accurate customer and project information in the company CRM ● Create, update, and organize electronic customer files ● Submit, track, and obtain building permits ● Order products, materials, and related components ● Confirm that orders match approved project paperwork ● Communicate with manufacturers and vendors regarding orders, lead times, backorders, and delivery dates ● Track incoming products and confirm when projects are ready for production or installation ● Coordinate with the production team regarding products requiring assembly or preparation ● Schedule project verifications, installations, inspections, and service appointments ● Maintain installation and service calendars ● Coordinate schedules with customers, installation crews, service technicians, and internal team members ● Communicate project updates, delays, and scheduling changes to customers ● Upload and organize project documents, photographs, and completion information ● Follow up consistently with vendors, customers, installers, and team members ● Identify and help resolve permitting, ordering, scheduling, installation, and service issues ● Ensure that no project step, deadline, order, appointment, or required document is missed ● Perform other administrative and operational duties as needed REQUIRED QUALIFICATIONS ● At least two years of experience in project coordination, operations, construction administration, scheduling, order fulfillment, or a similar role ● Exceptional organizational and time\-management skills ● Strong attention to detail and accuracy ● Ability to manage multiple active projects and changing priorities ● Strong written and verbal communication skills ● Professional, patient, and confident when communicating with customers ● Comfortable holding vendors and team members accountable for deadlines ● Proficient with email, calendars, electronic files, and CRM or project\-management software ● Ability to learn new software and company procedures quickly ● Dependable, punctual, and consistent ● Able to work independently without constant supervision ● Able to recognize a problem, take action, and follow it through until it is resolved PREFERRED EXPERIENCE ● Residential construction or home\-improvement experience ● Building permit submission and tracking ● Installation or service scheduling ● Ordering construction products or custom materials ● Coordinating manufacturers, vendors, subcontractors, or installation crews ● Experience using CRM, scheduling, or project\-management systems IDEAL CANDIDATE The ideal candidate is proactive, organized, accountable, and comfortable taking ownership of an entire process. You should be someone who follows up without being reminded, maintains detailed records, catches discrepancies, communicates problems early, and does not allow important tasks to fall through the cracks. You must understand how permitting, ordering, product delivery, production, installation, inspections, and service affect one another and be able to keep every project moving forward. COMPENSATION AND BENEFITS ● $24\.00–$27\.00 per hour, based on directly related experience ● Approximately $49,920–$56,160 annually based on a 40\-hour workweek ● Full\-time, year\-round employment ● Paid time off ● The company does not currently offer a group health\-insurance plan. After 90 days of employment, eligible full\-time employees may receive financial assistance toward the cost of an individual health\-insurance plan they obtain independently.
