Job Overview We are seeking a highly organized and proactive BILINGUAL (ENGLISH \& JAPANESE) REMOTE: Executive Personal Assistant to support senior leadership with a wide range of administrative, project coordination, and office management tasks. Responsibilities Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision. Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries. Handle all aspects of correspondence via email and phone, demonstrating excellent phone etiquette and professional communication skills. Organize and oversee various projects by tracking deadlines, preparing reports, and ensuring timely completion through effective project coordination. Support bookkeeping activities using QuickBooks and perform basic office management duties such as filing, data entry, and document proofreading. Assist with event planning for virtual or in\-person meetings, conferences, or company events to ensure seamless execution. Perform administrative tasks such as transcription, proofreading documents, managing office supplies remotely, and maintaining organized digital files. Qualifications Proven experience as an executive personal assistant or in an administrative support role with a focus on office management. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and familiarity with Microsoft Outlook Calendar. Demonstrated ability to handle multiple tasks efficiently with excellent organizational skills and attention to detail. Experience with bookkeeping software like QuickBooks and familiarity with basic bookkeeping principles. Exceptional typing speed along with transcription and proofreading skills to ensure accuracy in all documents. Excellent communication skills with professional phone etiquette across multi\-line phone systems. Ability to work independently in a remote setting while maintaining high levels of productivity and accountability. Knowledge of event planning logistics and project coordination processes is highly desirable.
