Description of Work
The Executive Assistant serves as the primary one\-on\-one support to the Executive Director and provides administrative assistance to upper management within the Rural Health Transformation Office. Work includes standardized office support tasks such as maintaining schedules, calendars, and travel arrangements, making purchases, reconciling expenses, and performing administrative duties requiring decision\-making and sound judgment.
Key Responsibilities
- Coordinate and maintain schedules, calendars, and travel\-related activities for executive leadership.
- Under the direction of management, coordinate program conferences, board, steering, and committee meetings and events, including scheduling, organizing agendas, preparing minutes, processing registrations, ordering supplies, securing quotes, completing purchase orders, and other tasks as requested.
- Prepare budget, travel, and conference authorizations and budget requisitions in accordance with DHHS and RHTP Office policy.
- Prepare and distribute correspondence, reports, and other required documents.
- Maintain and update departmental records.
- Monitor and track expenditures.
- Provide leadership reception duties, including answering various questions by phone and in person from staff and the public.
- Serve as primary point of contact for internal and external stakeholders, responding to inquiries and providing information as needed.
- Collaborate with administrative staff and team members to ensure smooth operations, effective communication, and completion of duties as assigned by the supervisor.

- Considerable knowledge of program services, policies, procedures, laws, rules, and regulations; ability to demonstrate and apply this knowledge in performance of administrative support tasks; ability to explain and interpret program information to clients/customers and staff.
- Demonstrated ability to provide executive level support to senior leadership and their respective councils, boards, and collaborative partners; ability to maintain confidentiality of sensitive and confidential information.
- Demonstrated proficiency in the use of Microsoft Office products including Outlook, PowerPoint, Word, and Excel.
- Demonstrated ability to schedule and conduct virtual and in\-person meetings including meeting facilitation, organizing agendas and preparing minutes, preparing travel, and negotiating meeting space within budget, as needed.

Bachelor's degree, preferably in business administration or a related discipline from an appropriately accredited institution
