Overview
We are seeking a highly organized and detail\-oriented Medical Office Receptionist/Administrative Assistant to join our healthcare team. This role is vital in ensuring smooth clinic operations, providing exceptional patient service, and maintaining accurate medical records. The ideal candidate will possess strong administrative skills, familiarity with electronic health record (EHR) systems, and a solid understanding of medical terminology. This position offers an opportunity to work in a dynamic healthcare environment, supporting both clinical and administrative functions. If you fit well with the roll, we may expand it to also include assisting the Nurse Practitioners with their charting and patient care.
Our Kenwood location is open every weekday, working hours are roughly 7:45am\-4pm, though this position is part time at 2\-3 days a week during the probationary period. After that period, there is a strong possibility to take on full\-time hours.
Responsibilities
- Greet patients professionally and manage front desk operations with excellent phone etiquette and multi\-line phone system handling
- Schedule patient appointments using our payment and scheduling system
- Collect payments and process services, we do not accept insurance so our patient's pay out of pocket or with HSA. Creating a super bill may be at times required.
- Maintain and update patient records within EHR systems, including test result documents, patient information
- Assist with intake procedures, including collecting patient information and translating information from a form into the EHR
- Manage medical records filing, scanning, and faxing
- Support clinic staff with administrative tasks such as filing, accurate scheduling and scheduling management, office management duties such as restocking and light cleaning of the space
- Facilitate communication between patients and providers, especially after virtual appointment
- Ensure compliance with private health information policies and confidentiality
- Prior experience in a medical office setting or healthcare environment is required, including clinic or dental office experience
- Proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, Eaglesoft, or similar platforms
- Strong understanding of medical terminology across various specialties
- Excellent computer skills with proficiency with Apple software
- Demonstrated customer service skills with the ability to handle multi\-line phones and provide compassionate patient support
- A Medical Assistant degree or similar background is preferred, to lessen training in patient communication and practitioner support

At this time, we are unable to offer health care as a benefit of employment, but our office manager will work with you to make sure you find adequate coverage through a private policy or Healthcare Marketplace.
You would you have a 3 month probationary period to make sure we are a good fit together, with limited PTO and lesser pay. After the probationary period is over, and assuming full\-time hours are taken on, we offer 10 days PTO that resets at the beginning of each year and would likely increase your pay. After a year of employment you will be eligible for our Simple IRA retirement program with a 3% match.
