Overview

We are a growing construction cleaning company based in Nashville, TN, seeking a Bilingual Executive Assistant / Operations Assistant to work directly with the owner and support daily business operations.

This role is best suited for someone who can operate as a right\-hand partner—working hand\-in\-hand with leadership across multiple projects. You will be expected to manage a wide range of responsibilities, multitask effectively, and maintain organization across fast\-moving priorities.

This is a high\-responsibility role with direct exposure to business operations, sales, and project coordination. It offers strong long\-term growth potential for the right individual.

Key ResponsibilitiesExecutive Support (Owner Partnership)

  • Manage and organize inbox communication
  • Draft and respond to emails and messages professionally
  • Schedule meetings, walkthroughs, and follow\-up calls
  • Maintain calendar organization and daily priorities
  • Track tasks and ensure deadlines are met without constant oversight
  • Operations \& Administrative Management

  • Maintain organized records for leads, clients, and active projects
  • Update CRM systems and spreadsheets with accurate notes and next steps
  • Organize key documents (bids, scopes, onboarding paperwork, invoices, etc.)
  • Support coordination between office operations and field teams
  • Assist with billing follow\-ups, job tracking, and project closeouts
  • Lead Follow\-Up \& Sales Support

  • Follow up with inbound and outbound leads to schedule walkthroughs
  • Track lead pipeline and ensure consistent follow\-up activity
  • Assist with sending proposals, estimates, and outreach messages
  • Support maintaining an active and organized sales pipeline
  • Cold Call Team Coordination

  • Assist in coordinating and tracking cold call team performance
  • Ensure lead data is accurate, documented, and organized
  • Provide updates on activity, results, and pipeline progress
  • Field \& Project Support (As Needed)

  • Attend walkthroughs to document notes and capture photos
  • Assist with communication and follow\-up after site visits
  • Support coordination of jobsite logistics when required
  • Bilingual Communication (English/Spanish)

  • Communicate clearly with both English\- and Spanish\-speaking team members
  • Translate job instructions, updates, and documentation as needed
  • Support communication with crews, vendors, and partners

    Minimum Requirements (Non\-Negotiable)

  • Bilingual (English/Spanish)
  • Located in or near Nashville, TN
  • Strong written and verbal communication skills
  • Comfortable making outbound calls and consistent follow\-ups
  • Highly organized and detail\-oriented
  • Reliable phone and internet access
  • Dependable, responsive, and able to manage responsibilities independently
  • Preferred Qualifications

  • Experience in executive assistance, operations, or administrative support
  • Familiarity with CRM or pipeline management systems (Jobber, HubSpot, PipeDrive, etc.)
  • Background in construction, cleaning, or service\-based industries

    Position Structure

  • Monday–Friday schedule
