Administrative Assistant for: Sheet Metal Shop / Construction

Job Summary
Metal\-IQ LLC is a growing sheet metal fabrication and installation company seeking a highly organized and reliable Administrative Assistant to support shop and field operations.
This role is critical to keeping jobs moving—handling purchase requests, coordinating with vendors, supporting project tracking, and ensuring communication between the shop, field crews, and management stays tight.
Key Responsibilities
\- Answer phones, emails, and route communication to the correct team (shop, field, PMs)
\- Process internal purchase requests and coordinate with vendors/suppliers
\- Track material orders, deliveries, and job\-related purchases
\- Build and maintain material and vendor price sheets (Excel\-based) for estimating and purchasing accuracy
\- Assist with job setup, file management, and document control
\- Support scheduling coordination between shop and field crews
\- Prepare and maintain job folders, work orders, and production documents
\- Assist with invoicing support, billing backup, and data entry
\- Maintain organized records for projects, vendors, and purchasing
\- Order office and shop supplies as needed
\- Support leadership with administrative tasks and reporting
\- Help keep office and operational systems clean, accurate, and up to date
Qualifications
\- High school diploma or equivalent required
\- 2\+ years of administrative experience (construction or trades preferred)
\- Hands\-on experience using Microsoft Excel for tracking, data entry, and reporting
\- Strong organization and time management skills
\- Clear and professional communication (phone, email, in\-person)
\- Proficient in Microsoft Office (Excel, Word, Outlook)
\- Detail\-oriented with strong follow\-through
\- Ability to handle multiple tasks in a fast\-paced shop environment
Preferred Experience
\- Experience in sheet metal, HVAC, roofing, or construction office
\- Experience using Excel for material tracking, purchase tracking, job tracking, and price sheet maintenance
\- Familiarity with purchase orders, job tracking, and vendor coordination
\- Experience with QuickBooks, CRM, or project management software
\- Understanding of shop vs. field workflows

Compensation
\- Pay: $20\-24 per hour
\- Benefits: \[Health, PTO, Holidays, etc.]
Schedule
\- Monday–Friday
\- 8\-hour shift ( 7:30\-4:00 w/ ½ hr lunch)
\- In\-office (shop/office environment)
