Overview

We are a safety training company seeking a dynamic and intelligent admin to lead and coordinate our daily business functions. In this critical role, you will assist and manage operational activities, staff scheduling, and ensure the seamless delivery of services that our clients rely on.

Your efforts will coordinate our team, enhance efficiency, and promote continuous growth and brand excellence. This position offers an exciting opportunity to shape operational strategies, develop business opportunities, and contribute to the overall success of the organization.

Daily:

  • Manage and respond to email and phone communications
  • CRM management and updates
  • Client research and information gathering to complete client profiles
  • Monitor live classes and ongoing sessions; coordinating with staff in real time
  • Process certificates and prepare client documentation
  • Create, update, and send client follow\-ups
  • Respond to incoming leads from advertising platforms and inquiries
  • Provide quotes to new and returning clients
  • Schedule classes and maintain accurate calendars and scheduling systems
  • Assign instructors and manage instructor availability
  • Track customer registrations and maintain accurate class headcounts
  • Support accounts receivable follow\-ups as time permits
  • Weekly:

  • Review upcoming schedules to ensure classes are fully staffed and confirmed
  • Send client reminders and pre\-class communications
  • Review and respond to website inquiries
  • Update training logs and compliance records
  • Record and reconcile client payments across internal systems
  • Send recurring reminder communications for public or recurring classes
  • Monthly:

  • Complete and submit required regulatory rosters and reports
  • Audit class logs and records for accuracy and compliance
  • Post and manage upcoming public classes in registration platforms
  • Skills

  • Strong work ethic
  • Technologically savvy and a proficient problem solver
  • Customer Relationship Management, including supporting software
  • Skilled with spreadsheets and tech\-savvy in general
  • Excellent communication and interpersonal skills.
