Job Overview: We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our Regulatory Affairs team. The ideal candidate will be detail\-oriented with exceptional communication skills and the ability to manage multiple tasks efficiently. This role is crucial in streamlining the team’s operations, coordinating communications, and managing day\-to\-day administrative tasks, all while contributing to the company’s overall regulatory compliance efforts.
Key Responsibilities:
* Administrative Support:
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Provide high\-level administrative support to the operations management team by preparing documentation, organizing and maintaining regulatory files, reports, and compliance records.
- Serve as the first point of contact at the front desk, greeting visitors and managing inquiries professionally.
- Coordinate travel arrangements and prepare itineraries for the senior management team as needed.
- Assist with the preparation, review, and submission of regulatory documents, compliance reports, and correspondence.
- Maintain up\-to\-date records of regulatory filings, approvals, and communications with regulatory agencies.
- Ensure all regulatory documentation is properly filed, archived, and accessible in accordance with industry standards.
- Serve as the point of contact between the regulatory affairs team and internal stakeholders, ensuring timely and efficient communication across departments.
- Prepare meeting agendas, take meeting notes, and track action items to ensure regulatory compliance tasks are completed in a timely manner.
- Support the development and distribution of internal training materials on regulatory compliance topics for staff.
- Help track changes to relevant regulations, standards, and industry guidelines.
- Assist with the analysis of regulatory requirements and contribute to the development of compliance policies and procedures.
- Monitor regulatory developments and prepare summaries or reports for internal teams.
- Conduct research on regulatory issues, proposed regulations, and industry trends to provide information that will assist the regulatory affairs team in advocacy and compliance activities.
- Assist in preparing presentations or reports for senior management regarding regulatory compliance matters and proposed regulatory changes.
- 3\+ years of experience in an executive assistant or administrative support role, preferably in a regulatory affairs or compliance environment.
- Experience in the chemical manufacturing, pharmaceutical, medical device, or consumer products industries is highly preferred.
- Proficiency in front desk operations with excellent customer service skills.
- Strong calendar management abilities to prioritize tasks effectively.
- High level of computer literacy with experience in Google Suite and Microsoft Office applications.
- Strong organizational and time\-management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills, with the ability to effectively interact with internal teams and external regulatory agencies.
- Ability to perform data entry tasks with a keen eye for detail.
- Experience in event planning is a plus, showcasing strong organizational skills.
- Strong clerical skills to assist with various office tasks efficiently.
- Ability to handle sensitive and confidential information with discretion.
- Ability to work independently and with a high level of attention to detail.
- A Bachelor’s degree in business administration, chemistry, life sciences, or a related field is preferred.
- Additional certifications or training in regulatory affairs, compliance, or project management is a plus.
