Our work includes historic restoration, insurance restoration, roofing, masonry, carpentry, structural repairs, and specialty construction projects. We handle complex projects that require organization, attention to detail, and strong communication between office staff, project managers, field crews, suppliers, and clients.

We are looking for someone who is highly organized, dependable, and capable of helping keep daily operations running smoothly both in the office and occasionally in the field.

Position Overview

CEMAX is seeking a motivated Administrative Assistant to support our construction and restoration operations. This role is critical to maintaining organization across projects, inventory, bookkeeping, scheduling, employee records, and day\-to\-day office operations.

The ideal candidate is proactive, detail\-oriented, comfortable working in a fast\-paced environment, and capable of handling multiple responsibilities at once. This position requires someone who can work independently, stay organized under pressure, and communicate professionally with clients, vendors, subcontractors, and team members.

This role is primarily office\-based but may occasionally require light field assistance such as running materials, delivering documents, checking inventory, or assisting project managers as needed.

Responsibilities

  • Manage and maintain organized records for projects, employees, vendors, insurance documentation, and company files
  • Assist project managers and company owners with scheduling, coordination, paperwork, and administrative support
  • Track company inventory, materials, tools, and equipment to ensure accurate counts and project readiness
  • Perform light bookkeeping tasks including invoicing, billing support, receipt organization, expense tracking, and document filing
  • Organize and maintain receipts, purchase records, and job cost documentation
  • Communicate professionally with clients, subcontractors, vendors, and suppliers through phone calls, email, and text communication
  • Assist with employee onboarding paperwork, insurance compliance, certifications, and safety documentation
  • Coordinate deliveries, material pickups, and project\-related logistics
  • Perform data entry and maintain internal systems with accuracy and attention to detail
  • Support day\-to\-day office operations and help keep company systems organized and efficient
  • Provide occasional field support including running materials, visiting job sites, assisting with measurements, or helping project managers as needed
  • Requirements

  • Prior administrative, office, bookkeeping, or construction\-related experience preferred
  • Strong organizational and multitasking abilities
  • Ability to work independently without constant supervision
  • Strong communication and customer service skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and/or Google Workspace
  • Experience with QuickBooks or similar bookkeeping software is a plus
  • Ability to maintain confidentiality and handle sensitive company information
  • Strong attention to detail and accountability
  • Reliable transportation
  • Comfortable working around construction operations and field teams
  • Ability to adapt quickly in a fast\-paced environment
  • Bilingual (English/Spanish) is a plus
