Responsibilities
- Manage and maintain detailed calendars, including scheduling meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
- Provide executive administrative support by preparing correspondence, reports, and presentations with accuracy through proofreading and transcription.
- Coordinate projects and events from planning stages through execution, ensuring deadlines are met and resources are allocated efficiently.
- Handle office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records for easy retrieval.
- Serve as the first point of contact via multi\-line phone systems and demonstrate excellent phone etiquette when communicating with clients, vendors, and team members.
- Assist with personal tasks as needed, including scheduling personal appointments or errands to support busy executives.
- Oversee front desk responsibilities, including greeting visitors and managing office supplies to ensure a professional environment.
- Proven experience as an executive assistant or personal assistant with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and the use of AI tools to assist with ongoing development of content and collateral used for business purposes.
- Excellent typing speed and data entry skills for efficient document preparation and record keeping.
- Strong project coordination abilities with attention to detail in event planning and task execution.
- Exceptional communication skills with professional phone etiquette and customer service orientation.
- Ability to multitask effectively while maintaining accuracy in clerical tasks like filing, proofreading, transcription, and data entry.
- Familiarity with office equipment such as multi\-line phone systems, fax machines, scanners, and office furniture setup.
