About the Role
Connor Claim Service, Inc. is a growing appraisal and claims services firm seeking a U.S.\-based Administrative Operations Assistant to take over the administrative and operational side of the business. This is a long\-term, part\-time role for someone who is organized, reliable, tech\-comfortable, and able to work independently.
You will manage our claims management system, handle new assignments as they come in, set up new files, communicate with clients, schedule inspections, manage calendars, prepare documents, and keep the business running smoothly.
This is NOT a simple data\-entry job. This is an operational support role where you will help manage the workflow of an active appraisal firm.
What You Will Do (Primary Responsibilities)
Claims Management System (Training Provided)
- Take over the setup and management of our claims management system
- Enter new assignments into the system
- Upload documents, set due dates, and move files through workflow stages
- Test workflows and identify areas needing adjustment
- Contact software support directly when needed
- Help refine and optimize the system over time
- Monitor emails
- Set up new files in the claims system and in Xactimate (training provided)
- Create and organize Google Drive folders
- Draft letters and emails using templates
- Send forms for electronic signature
- Schedule meetings and manage the company calendar
- Track deadlines and ensure timely follow\-up
- Prepare reports and documents
- Assist with invoicing and file closure tasks
- Work independently with minimal supervision
- Communicate clearly and professionally
- Maintain confidentiality
- Be reliable, consistent, and detail\-oriented
- Be available for light check\-ins in the morning and afternoon
- Complete new assignment setup within 24 hours (except weekends)
- Must be U.S.\-based
- Must speak and write fluent English
- Strong administrative or operations background
- Excellent communication skills
- Strong organizational skills
- Comfortable learning new software systems
- Comfortable contacting software support when needed
- Ability to work independently and manage time well
- Reliable internet and computer
- Experience in insurance, claims, legal admin, or similar fields
- Experience with workflow or project management systems
- Experience with Xactimate (training provided if needed)
- Experience with Google Drive organization
- Experience with scheduling and calendar management
- 10–15 hours per week
- Flexible schedule
- Work may be split into short blocks (e.g., morning \+ afternoon)
- Must be able to check email at least twice per day
- Must complete new assignment setup within 24 hours
- $20/hr to start
