BASIC FUNCTIONS: We are looking for a new Administrative Assistant to support our executive team. You will manage mostly business\-related tasks for the team such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past.
RESPONSIBILITIES INCLUDE (but not limited to):
- Provide front desk customer service
- Ensures files are complete and maintained
- Data Entry
- Operate Office equipment (i.e. copier, scanner, computer, fax, calculator
- Manage Multi\-line phone system
- Order \& Maintain office supply inventory
- Preparing financial statements, reports, memos, invoices letters, and other documents.
- Handling basic bookkeeping tasks.
- Filing and retrieving corporate records, documents, and reports.
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Helping prepare for meetings. Attends and participates in all staff meetings, center events, and parent/customer meetings as requested
- Accurately recording minutes from meetings.
- Using various software, including word processing, spreadsheets, databases, and presentation software.
- Reading and analyzing incoming memos, submissions, and distributing them as needed.
- Making travel arrangements for executives.
- Performing office duties that include ordering supplies and managing a records database.
- Experience as a virtual assistant.
- Opening, sorting and distributing incoming faxes, emails, and other correspondence.
- Provide general administrative support.
- Engages with current and prospective parents and family members and is responsive to their needs
- Keeps the management informed of any necessary information regarding the care and safety of children
- Assists and accepts responsibility in other daily center duties that might be temporary in the event other personnel are not available
- Attends and participates in all staff meetings, center events, and parent/customer meetings as requested
- Comfort and support preschoolers through one\-on\-one moments of basic care needs, play, and communication
- Enjoy collaborating with a talented team of early childhood professionals
- BA in Business Administration preferred
- Certificate in Food Safety and Sanitation, CPR and First Aide desirable
- 2\+ years in a fast\-paced office environment
- Must be able to manage multiple tasks
- Social Media experience a plus
- Professional level verbal and written communications skills.
- In\-depth understanding of Microsoft Office Suite
- Required knowledge of Quick Books
- Strong computer skills
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fast\-paced quickly changing environment.
- A proactive approach to problem\-solving with strong decision\-making skills.
- Strong background in an office environment
- Detailed oriented and very organized
- Relentlessly enthusiastic
- Some accounting experience a plus
- Physical examinations
- Must provide medical evaluation forms every two years, initial with a current TB test.
