Job Summary
We are seeking a dynamic and detail\-oriented Administrative and Operations Support Specialist to join our team. In this vital role, you will serve as the backbone of our small consulting business operations, ensuring smooth daily functions and providing exceptional support to this consultant and clients alike. This role supports mission\-driven work serving providers and systems working with individuals with autism and intellectual/developmental disabilities, their families or legal guardian. The ideal candidate is proactive, detail\-oriented, and able to manage multiple priorities with minimal supervision while maintaining strict confidentiality and data security standards.
Key Responsibilities
- Manage invoicing, billing, and tracking using QuickBooks
- Track project hours, deliverables, and contract requirements across multiple counties
- Coordinate timelines, communications, and documentation for multiple projects
- Create Google Forms
- Maintain organized systems for contracts, reporting, and administrative workflows
- Handle sensitive and confidential information in accordance with privacy requirements
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or other bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively fast\-paced work
- Bilingual abilities are a plus to assist diverse client needs and enhance communication
- Demonstrated office management experience with familiarity in clerical tasks such as paperless\-electronic filing, data entry, and calendar coordination
- Attention to detail for proofreading documents accurately
- Customer service orientation with a friendly demeanor and problem\-solving mindset
- Effective time management skills to handle multiple responsibilities simultaneously
- Personal assistant experience or previous roles involving consultation work will be advantageous
- Must have access to a reliable computer and high\-speed internet
- Must be comfortable using cloud\-based systems (e.g., QuickBooks, Microsoft 365, Google Workspace)
- Must be able to work securely in a remote environment and maintain confidentiality of sensitive information
- Must be able to pass a Washington State background check
- If not a Washington State resident for the past three (3\) consecutive years, must be able to pass a national/FBI fingerprint\-based background check
