Responsibilities

  • Manage daily office operations, including front desk duties and multi\-line phone systems, ensuring a welcoming environment for clients and visitors
  • Handle bookkeeping responsibilities using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations
  • Provide exceptional customer service through phone etiquette, in\-person interactions, and email correspondence
  • Maintain organized filing systems, data entry records, and ensure accuracy in all clerical documentation
  • Support calendar management and scheduling for team meetings, appointments, and deadlines using Google Workspace or Microsoft Office tools
  • Assist with administrative tasks such as proofreading documents, managing office supplies, and supporting personal assistant duties as needed
  • Ensure efficient office management by implementing organizational systems that enhance productivity and streamline workflows
  • Experience with accounting a plus
  • Experience with Quickbooks a plus
  • Experience with HouseCall Pro a plus
  • Experience with Payroll, Gusto, ADP or similar platforms a plus
  • Experience with marketing and social media a plus
  • Experience with Human Resources
  • Experience with dealing with customers in the home services field a plus
  • Skills

  • Proficiency in QuickBooks accounting software and strong computer literacy across Microsoft Office and Google Workspace applications
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment
  • Experience in office management, clerical work, data entry, filing, and administrative support roles
  • Strong customer service skills with professional phone etiquette and experience handling multi\-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of medical or dental receptionist duties is a plus but not required
  • Proven time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail
  • Experience in bookkeeping or financial record keeping is essential for accurate financial management
