Position Overview
We are seeking a highly organized, detail\-oriented, and proactive professional to serve in a dual role as Product Procurement Manager and Executive Assistant to the Owner on a contract basis. This position is ideal for someone who thrives in a fast\-paced, client\-driven environment and understands how to deliver a seamless, high\-touch experience.
This role requires someone who can move quickly on direction, anticipate the owner’s needs, and think independently. You will be expected to use sound judgment, “street smarts,” and initiative to make decisions that benefit both the company and its clients—without constant oversight.
Key Responsibilities
Product Procurement \& Client\-Focused Project Support
\- Price, and procure project materials
\- Build and maintain relationships with vendors, showrooms, and manufacturers
\- Manage purchase orders from creation through delivery and installation
\- Track orders, lead times, and logistics; proactively communicate updates and resolve issues
\- Anticipate project needs and address potential challenges before they arise
\- Ensure procurement aligns with client expectations, budgets, and deadlines
\- Coordinate with clients, designers, contractors, and vendors to ensure seamless execution
\- Maintain organized procurement documentation, budgets, and client\-facing reports
Executive Assistant to the Owner
\- Manage calendar, scheduling, and travel arrangements with efficiency and discretion
\- Act as a key liaison between the owner, clients, vendors, and partners—ensuring a polished, responsive experience
\- Manage email correspondence, prioritize communications, and drive timely follow\-ups
\- Support daily operations including meeting preparation, note\-taking, and action tracking
\- Quickly execute on directives while also anticipating next steps and needs
\- Help prioritize competing demands and keep both operational and strategic initiatives on track
\- Handle confidential information with the highest level of professionalism
\-Manage social media and marketing efforts
Light Bookkeeping \& Financial Coordination (Preferred)
\- Assist with tracking invoices, expenses, and purchase orders
\- Support budget tracking across projects to ensure alignment with client expectations
\- Coordinate with accounting/bookkeeping partners as needed
\- Help maintain organized financial records related to procurement and project costs
Qualifications
\- 3–7\+ years of experience in procurement, project coordination, executive assistance, or related roles
\- Procurement experience within residential design, construction, or related industries strongly preferred
\- Exceptional organizational and project management skills
\- Excellent communication skills with a polished, client\-facing presence
\- Ability to manage multiple priorities while maintaining accuracy and attention to detail
\- Proficiency in procurement systems, spreadsheets, and project management tools
\- Basic bookkeeping or financial tracking experience preferred
\- Social media management experience is a plus
\- Self\-directed and highly accountable in a remote work environment
\- Ability and willingness to travel occasionally for site visits and installations

Engagement Details
