This job family provides vision, direction, and organization of academic strategy to support, build, and enhance the institution’s teaching, research and clinical mission and ensure excellent student outcomes and experiences. They are typically responsible for overseeing academic programs, policies, and procedures, managing curriculum development, faculty appointments, and accreditation processes to ensuring excellence in UVA's academic offerings and operations.

These roles are responsible for the planning, implementation and management of academic, research and medical education activities, and programs in support of advancing UVA's academic strategic plan. Typical responsibilities include course planning, program administration and other activities in consultation with college or department management and faculty.

The University of Virginia School of Medicine Department of Medical Education seeks a Medical Education and Compliance Administrator to complement the existing team. The Medical Education and Compliance Administrator provides administrative support to curricular processes in Phase 2 (P2\) and 3 (P3\) of the MD Curriculum, including RCE (Required Clinical Encounters) and EPA (Entrustable Professional Activities) Compliance (Phase 2 and 3\), P3 data entry in UVA SOM Learning Management System: VMED (Elective course objective mapping) and UVA SOM Online Access to Student Information and Scheduling: Oasis (course information used to generate Pay for Teaching payment amounts).

Each Phase of our Curriculum is designed to build clinical and interpersonal skills. By the time students graduate, they possess the 12 competencies necessary to become a contemporary physician as defined by the UVA School of Medicine education program objectives. Phase 1 (P1\) emphasizes the knowledge, skills, and values needed to start practicing medicine. Phase 2 (P2\) allows students to provide direct patient care under supervision while exploring different specialties. Phase 3 (P3\) facilitates exploration of specialty areas of personal interest while preparing for residency.

The successful candidate is highly organized, attentive to detail, self\-motivated, and possesses the ability to work independently, as well as contribute to a high\-performance team. Excellent written, verbal, and interpersonal communication skills will be required.

Typical Duties Include:

  • Accurately and independently document in VMED how each Phase 3 (Electives) classroom activity ties back to one of the 12 required competencies. This documentation is used to support the School’s LCME accreditation.
  • Accurately and independently enter course information in Oasis to ensure timely payment to instructors.
  • Work closely with the Manager of Student Affairs and the Associate Dean for Curriculum to analyze course syllabi, understand course objectives, and align activities to correct session event types in Oasis, ensuring course evaluations are completed and information needed to generate payments for teaching is provided in a timely manner to the Operations Manager.
  • Work collaboratively with internal stakeholders (OEA and Student Affairs faculty and staff, School and departmental Deans, managers, and peers), ensuring engagements with stakeholders are professional, respectful, and adhere to the ASPIRE values.
  • Work closely with the Associate Dean for Curriculum on RCE (Required Clinical Encounters) Compliance to ensure that all have completed those requirements in Phase 2\. This includes compiling annual compliance reporting for review by Phase 2, Phase 3, and Curriculum Committees to support the School’s LCME accreditation, Phase 2 grade tracking for each clerkship/calendar year, preparing materials for bi\-annual Joint Clerkship Meetings, and the collecting and reviewing of SCOPE Surveys.
  • Work closely with the Associate Dean for Clinical Competency on EPA Program Administration and Clinical Competency coordination. This includes the collecting, reporting, and presenting of data on both students and assessors, coordination of EPA Leadership program, and other EPA administrative support for.
  • Work as a trained proctor for Medical Education, specifically Phase 2 SHELF exams.
  • Ensures programmatic compliance with relevant national organizations (e.g., LCME).
  • Understands and applies Departmental, School, and University administrative policies and procedures.
  • Updates VMED and Oasis, ensuring across supported programs and compliance with standards established by the Curriculum Committee.
  • Serves as main point of contact for supported programs. Establishes and maintains positive, collaborative relationships with internal stakeholders. Responds to stakeholders in a professional, respectful, and timely manner.
  • Communicates clearly with diverse groups of internal (e.g., faculty, students, other staff) utilizing multiple modes of communication (e.g., phone, email, text, Teams, website, and in person).
  • Works independently, exercising good judgment when making decisions. Prioritizes daily tasks. Works with faculty leadership to set priorities for supported programs.
  • Other duties as assigned by supervisor or Associate Deans.
  • Candidates will be considered at both the Academic Programs Operations and Service 2 and 3 level. Level will be determined by qualifications.

    Preferred Qualifications

  • Education: Bachelor’s degree or equivalent
  • Experience working in higher education, preferably in an academic health care institution and supporting medical education programs/curriculum
  • Proficiency in VMED, OASIS, Teams, and Box
  • Physical Demands

    This is primarily a sedentary job involving extensive use of desktop computers. This job may require working 2\-3 evenings per year and/or traveling some distance to attend meetings and programs.

    The anticipated hiring range is $27\.88/hr\-$28\.85/hr, commensurate with education and experience.

    This position is based in Charlottesville, VA, and is eligible for a hybrid schedule in accordance with UVA’s remote work guidelines, after demonstrating competency, proficiency, and ability to independently meet goals and objectives.
