    Job Summary

  • This position provides primary administrative support for the Electrical and Computer Engineering (ECE) Undergraduate Advising Office, which serves a large undergraduate population across multiple programs. The role focuses on front\-line customer triage in a busy student services environment and backend processing of student requests, course enrollment/permissions, and related administrative workflows. The position is expected to provide accurate, timely information regarding curriculum, academic programming and resources, and College of Engineering and University policies and procedures. This role also supports the assistant director of academic programs, chief program advisors, faculty advisors, and advising\-related projects.

    Responsibilities\*

  • Maintain expert knowledge of ECE program requirements and College of Engineering/University of Michigan policies; provide accurate information about procedures, policies, resources, programs, and curriculum to students and faculty
  • Manage the advising office email account, including responding to curricular and policy questions; moderate the department email listservs and message approval process
  • Oversee and coordinate the process for course permission requests and issue class permissions; collaborate to identify classes that need additional sections
  • Maintain student records from declaration through graduation, including declaration processing and departmental audits
  • Support students with degree requirements, course selection/registration, credit transfer, academic performance concerns, and letter/skills verification requests
  • Serve as a resource for students navigating non\-academic challenges; refer students experiencing academic or personal difficulty to appropriate campus resources and follow up as needed; communicate with faculty to support student success
  • Prepare documents and records for advising appointments; track and monitor student progress/outcomes; assist with final degree audits
  • Support planning, coordination, and delivery of undergraduate orientation programming, including transfer and cross\-campus orientation sessions
  • Organize and support special events and information sessions for students; assist with recruitment, outreach, and diversity events (e.g., CoE Majors Fair, ECE Open House, Campus Days)
  • Coordinate lost\-and\-found operations, including intake, cataloging, secure storage, and return of found items
  • Track and manage semester advising schedules for faculty and peer advisors to ensure appropriate office coverage
  • Assist with implementing and coordinating student accommodations in entry\-level ECE courses in collaboration with instructors and relevant campus partners
  • Train and supervise administrative student employees
  • Track and maintain printed program materials and office supply stock
  • Assist in updating advising materials in print and online
  • Manage or coordinate ABET\-related processes to support accreditation efforts
  • Identify opportunities for new or improved advising office services and help implement improvements on an ongoing basis
  • Support other advising\-related projects, including departmental committee work, compilation/reporting of student data as requested, and the creation of advising materials and tools for delivering critical information to students
  • Perform other duties as assigned
  • Required Qualifications\*

  • Bachelor's degree or an equivalent combination of education and experience
  • Relevant experience in a higher education setting (typically 2\-5\+ years)
  • Strong service\-oriented approach with initiative and independent judgment
  • Demonstrated ability to exercise tact, diplomacy, discretion, and good judgment in sensitive situations
  • Proven ability to work under pressure in a high\-volume, dynamic environment; strong multitasking and prioritization skills
  • Excellent communication, organization, and attention to detail
  • Ability to work effectively with a diverse faculty, staff, and student body; collaborative team skills, including working closely with a partner and/or small team
  • Strong computing skills, including Microsoft Office, Google Workspace, and Zoom
  • Reasonable knowledge of University and College of Engineering policies, regulations, procedures, and compliance expectations (university and/or federal)
  • Experience with advising/student information systems (e.g., LSA Advising File/appointment scheduling tools) and familiarity with systems such as M\-Pathways and Business Objects (or comparable systems)

  • Degree in higher education or related field
  • Prior experience supporting academic advising operations and/or student services workflows in a college or university setting
  • Familiarity with College of Engineering practices and academic policies
  • Experience supporting accreditation documentation or ABET\-related processes

    Work Schedule

  • Full\-time (40 hours/week) on campus in Ann Arbor, MI
  • Monday through Friday, 8:00am\-5:00pm
  • Occasional evening and weekend hours may be required
