Executive Assistant – Full\-Time (30–40 hrs/week)

Schedule: 30–40 hours per week, standard business hours (Monday–Friday)

About the Role:

We’re looking for a full\-time Executive Assistant to support a fast\-moving business owner who runs a construction company and manages a busy family life. You’ll be the right hand to someone who needs a sharp, resourceful, and tech\-savvy person by their side—someone who can manage details, run errands, track paperwork, and jump into whatever the day throws their way.

This is not a desk\-only role. You’ll attend meetings, handle tech and administrative tasks, and help keep both business and life running smoothly.

Key Responsibilities:

  • Attend meetings with clients and take notes/follow up on action items
  • Handle day\-to\-day errands and driving tasks
  • Keep track of vehicle tags, permits, licenses, and other logistical details
  • Learn and use software tools (QuickBooks, SketchUp or similar)
  • Assist with basic bookkeeping tasks and documentation
  • Stay on top of a constantly shifting to\-do list and self\-prioritize
  • Solve problems without needing step\-by\-step instructions
  • Communicate clearly and professionally—mostly via phone
  • AI \& Technology Use:

  • Use AI tools (such as ChatGPT or similar platforms) to draft emails, summarize meetings, and organize information
  • Help streamline workflows and improve efficiency using digital tools
  • Be open to learning and adopting new technology as the business evolves

  • Bonus If You Have:

  • Experience with QuickBooks, SketchUp, or JobTread
  • Knowledge of construction or permitting processes
  • A strong work ethic and desire to grow within a small business
