A Brief Overview
The Clinical Secretary collaborates with the interdisciplinary team to provide day to day clerical/secretarial support within the critical care service line. This includes equipment and supply management, interdepartmental communication and other clerical duties as assigned.
Education Qualifications
- High School Diploma / GED Preferred
- Previous clerical support and computer experience. Preferred
- Experience using computers and Microsoft Office. Preferred
- Understanding of medical terminology. (Required proficiency)
- Excellent verbal/written communication, public relations, and organization skills. (Required proficiency)
- Ability to develop good rapport with fellow employees; ability to work both independently and within a team environment. (Required proficiency)
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. (Required proficiency)
- Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. (Required proficiency)
- Provide Professional and exemplary customer service needs for the department, staff, patients and visitors.
- Receives incoming telephone calls; screens and appropriately routes calls to department staff, patients, and medical staff. Relays messages accurately and efficiently to clinical staff.
- Prepares and maintains patient’s paper medical record documents while in the patient care area. (consents, face sheets, labels, and EKG’s).
- Maintains department specific checklists and logs (including Quarterly Expired Supplies, Cleaning logs, Biomedical/Facilities Management Repairs, Information Services Request logs, and conducts department specific Environment of Care inspections) Report findings to appropriate staff and ancillary departments.
- Assist with inventory of departmental supplies (including forms, equipment and instruments). Ensures supplies have been ordered, received and stored in appropriate supply areas. Trace status of orders and resolves any issues.
- Assisting in clerical duties such as sorting and filing documents, photocopy documents and data entry.
- Assists with tracking department and clinical equipment. Maintains knowledge of department service line, equipment and supplies.
- Places calls for additional staff as needed.
