  • THE BASICS

    We are seeking a part\-time Administrative Assistant/Office Assistant to help manage communications and coordinate building use for a busy, community\-centered organization.

    This role is a great fit for someone who enjoys structured, detail\-oriented work, takes ownership of daily operations, and finds satisfaction in keeping systems running smoothly behind the scenes. A typical day may include responding to emails, giving building tours, coordinating building use, updating the calendar, and maintaining organized and well\-stocked spaces.

    This role offers a consistent weekly schedule (no weekends required), with hours set at hire and maintained for stability. The workload is designed to be manageable, predictable, and sustainable.

    Much of the work is self\-directed, meaning you’ll independently manage your tasks while staying connected through regular check\-ins and collaboration with staff. You’ll be trained in all workflows and supported in handling both routine tasks and more complex situations. While much of the work is administrative, a significant portion of the role involves coordinating building use and interacting with outside groups.

    QUALIFICATIONS

    Education/Experience

  • At least two years of office experience
  • Associate's degree or equivalent experience; Bachelor’s degree preferred
  • Technical Skills

  • Exceptional attention to detail and organizational ability
  • Proficiency in Microsoft Word and Google Docs, Forms, and Sheets
  • Able to carry and lift up to 20 pounds, navigate stairs /uneven surfaces, and distinguish a range of colors
  • Familiarity with MailChimp, Canva, Meta Business Suite, and/or database software, is a helpful but a willingness to learn them is required
  • Must pass a full background check
  • This is a staff (non\-congregant leadership) role; employees are not required to be members of the congregation.
  • Interpersonal/Language Skills

  • Strong verbal and written English skills, Spanish proficiency is a plus

  • ESSENTIAL DUTIES \& RESPONSIBILITIES

    This role includes a wide range of responsibilities, supported by a clear daily task system and consistent weekly priorities. You’ll always know what matters most, and we’ll regularly adjust together as needed.

    To help prioritize what’s most essential, you’ll follow a comprehensive daily task list that supports the smooth operation of weekly and monthly rhythms. These duties fall into three general areas:

    Social Media \& Communications (45%)

  • Maintain and update social media accounts (Instagram and Facebook) with the pastor and Media and Worship Specialist
  • Manage and input weekly email announcements via MailChimp
  • Use a commercial printer for scanning, copying, and printing
  • Enter information in electronic database
  • Provide administrative support with reports, mailings, and campaign/marketing materials
  • Space Use Coordination (55%)

  • Provide customer service on the phone and general email management
  • In partnership with the pastor, coordinate building use by outside groups: scheduling bookings, calendar management, communicate access instructions, lead tours, prepare agreements, organize files, and schedule building assistants as needed
  • Organize, stock, and track inventories for a small food pantry and janitorial supplies
  • Ensure spaces are organized and tidy for space use groups
  • This role involves regular interaction with outside groups, requiring clear communication, professionalism, and comfort setting expectations and boundaries when needed
  • Some interactions may require navigating differing expectations or enforcing agreed\-upon guidelines
  • Complex or sensitive situations with outside groups are supported by the pastor
  • PAY \& BENEFITS

  • $21\.70–$22\.20/hour (based on experience) for consistent 12 hours per week (approximately $13,500–$13,900\+ per year, plus potential add\-on pay)
  • Paid onboarding and ongoing training

  • LOCATION/SCHEDULE

  • This position is a 100% on\-site, in\-person position (work from home is not available) because it is part of the church’s “ministry of presence” and will include overseeing building space use
  • 12 hours per week, scheduled across 2\-4 weekdays between Tuesday and Friday (exact schedule to be mutually agreed upon with the pastor)
  • A consistent weekly schedule will be established at hire (daytime or afternoon/evening) and remains stable week\-to\-week, with occasional adjustments (e.g., every 4–5 months) as needed
  • Additional paid evening/weekend opportunities may be available as separate roles: Wedding Assistant ($150/wedding; \~5–7 weddings annually); Building Monitor ($16\.60/hour; \~30 hours/year) \= \~$1,500 annually
