Job Summary
The office administrator (OA) is responsible for overseeing daily office operations and ensuring a smooth, efficient, and organized work environment. This role supports staff, manages administrative processes, and serves as a key point of contact for internal and external communications.
Key Responsibilities
- Manage day\-to\-day office operations and administrative activities
- Answer and direct phone calls, emails, and other communications
- Maintain filing systems (physical and digital) and ensure accurate recordkeeping
- Schedule appointments, meetings, and manage calendars
- Order office supplies and manage inventory
- Assist with basic bookkeeping tasks such as invoicing, expense tracking, and data entry
- Assist with any legal, financial or insurance related documentation as well as any communications with insurance companies and other vendors
- Support HR functions such as onboarding paperwork and maintaining employee records
- Coordinate with vendors, service providers, and building management
- Prepare reports, presentations, and correspondence as needed
- Ensure office policies and procedures are followed
- High school diploma or equivalent required; associate or bachelor’s degree preferred
- Experience as an office administrator, administrative assistant, or similar role
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software as well as MAC OS or Windows OS
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to multitask and prioritize effectively
- Attention to detail and problem\-solving skills
- Primarily office\-based role
- May require sitting or standing for extended periods
- Occasional lifting of office supplies (up to 50 lbs)
