Job Summary

The office administrator (OA) is responsible for overseeing daily office operations and ensuring a smooth, efficient, and organized work environment. This role supports staff, manages administrative processes, and serves as a key point of contact for internal and external communications.

Key Responsibilities

  • Manage day\-to\-day office operations and administrative activities
  • Answer and direct phone calls, emails, and other communications
  • Maintain filing systems (physical and digital) and ensure accurate recordkeeping
  • Schedule appointments, meetings, and manage calendars
  • Order office supplies and manage inventory
  • Assist with basic bookkeeping tasks such as invoicing, expense tracking, and data entry
  • Assist with any legal, financial or insurance related documentation as well as any communications with insurance companies and other vendors
  • Support HR functions such as onboarding paperwork and maintaining employee records
  • Coordinate with vendors, service providers, and building management
  • Prepare reports, presentations, and correspondence as needed
  • Ensure office policies and procedures are followed
  • Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred
  • Experience as an office administrator, administrative assistant, or similar role
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software as well as MAC OS or Windows OS
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritize effectively
  • Attention to detail and problem\-solving skills
  • Work Environment \& Requirements

  • Primarily office\-based role
  • May require sitting or standing for extended periods
  • Occasional lifting of office supplies (up to 50 lbs)
