Caltrol is Hiring an Order Management Specialist (OMS) to join our team in Livermore, CA.
Our Order Management Specialists support our sales teams to ensure customers receive the correct products and services. We’re looking for someone who is excited to make an impact and contribute to how our operations run. The ideal candidate is passionate about the customer experience, highly motivated, analytical, and brings a strong ownership mindset. This is a full\-time, onsite position, Monday through Friday. After 1 year of service, this position is eligible for Caltrol’s hybrid work policy, which requires 3 days per week in the office and allows up to 2 days of remote work.
Hiring Range:
The hiring range for this position is $23\.00 \- $27\.00 p/hour. This is the pay scale range Caltrol reasonably expects to pay for this position at the time of this posting. The base pay actually offered will take into account internal equity and may vary based on geographic region, skills, qualifications, and experience of the candidate, along with the requirements of the position.

What you'll be doing:
- Enter, update, review, and maintain customer purchase orders via Caltrol’s ERP system (IFS) and into external vendor business systems.
- Proactively maintain assigned open orders reports.
- Create and process RMA’s (return material authorizations).
- Collaborate with customers and internal teams to ensure both customers’ and Caltrol’s requirements are met.
- Maintain a high level of accuracy and attention to detail across all tasks.
- Manage post\-order activity, ensuring a seamless customer experience.
- Deliver excellent customer service by providing a positive customer experience through task ownership, accountability, consistency, and timely follow\-up.
- Back up for receptionist as needed.
- High school graduate or GED equivalent.
- At least one year in customer service or previous experience in an order management position.
- Strong verbal and written communication skills, with the ability to effectively interact with customers and internal teams.
- Proficient with Microsoft Office products.
- Flexibility to work overtime as needed to support business demands.
- Data entry experience in ERP systems is preferred but not required (We will train!)
- Some knowledge of manufacturing is a plus!

Work Environment/Expected Hours:
This is an on\-site, Monday\-Friday, 40 hours\-per\-week standard office environment position with prolonged periods of sitting at a desk and working on a computer and a telephone. Occasional overtime may be required to meet business needs.
