Lawrence Berkeley National Laboratory (LBNL) is hiring an Administrative Assistant III to support the Environment, Health, and Safety (EHS) Division. Reporting to the EHS Division Office Administrative Manager, this position will provide a comprehensive range of administrative support to the Health \& Safety Department.
In this exciting role, you will track, prioritize and monitor administrative workflow with an opportunity to implement process and procedural improvements, stay abreast of changes in procedures, and disseminate information to members of the administrative team.

- Provide administrative support to the EHS Division’s Health \& Safety Department Head and Team Managers, and Teams including scheduling, coordinating, and attending various meetings.
- Provide administrative support to multiple Health \& Safety Teams including BioSafety, Ventilation, Ergo, Illness \& Injury and Divisional Safety through scheduling, taking meeting minutes, responding/tracking of maintenance requests, and conducting funding recharge activities.
- Provide scheduling and communication support on all recruitment related activities including interviews, site access, and travel.
- Support staff on\-boarding and off\-boarding procedures.
- Triage and assign administrative requests through the EHS Administrative Help Desk application.
- Support the Department’s use of electronic calendaring tools and electronic document management systems.
- Oversee mail and package reception and distribution, maintenance of office supplies, replacement of copier/printer consumables, and filing and archiving.
- Provide backup administrative support to the Health Services Clinic Reception and Travel \& Procurement processing as needed.
- Provide other administrative support and assist with division event planning as needed.
- A minimum of six years of administrative experience in a professional, academic, or corporate setting requiring confidentiality and discretion, or equivalent experience.
- Experience with calendar management, meeting and event coordination, travel arrangements, expense reporting, purchasing, document management, and other related administrative tasks.
- Advanced proficiency in Google Workspace, MS Office Suite, Adobe Acrobat, Zoom video conferencing on a Mac or PC platform.
- Strong database and records management skills, including the ability to create and run basic reports, track and maintain dynamic datasets, and create charts/graphs from data.
- Excellent analytical skills including the ability to anticipate, identify, troubleshoot, and resolve routine and complex administrative issues.
- Strong planning and organizational skills including the ability to handle multiple tasks concurrently to meet workload demands and deadlines, to respond quickly and maintain flexibility during periods of changing work priorities and tight time constraints.
- Experience effectively building relationships and collaborating with individuals at all levels across a multidisciplinary organization.
- Exceptional written communication skills including the ability to produce high\-quality, error\-free documents, tailor messaging to varied audiences, and provide proactive follow\-through and status updates.
- Must be able to work occasional overtime as required.
- Must be able to perform the physical requirements of this position, including performing computer\-related functions for up to 8 hours per day that involve data entry, business correspondence, document management, research, calendaring, and taking/preparing meeting minutes, and other duties as assigned.
- A.A. Degree or equivalent experience.
- Experience with Berkeley Lab systems and tools (LETS, FMS, Trex, RezDesk, Cognos, etc.)
- Familiarity with Smartsheet and experience navigating a helpdesk system.
- Familiarity with Word Press and experience making website updates.
- Familiarity with Berkeley Lab, the University of California (UC), the Department of Energy (DOE), and/or local, state, federal policies, procedures, and regulations.
- Valid California Driver’s License, ability to drive a government vehicle.

- Salary Range: This position is represented by a union for collective bargaining purposes and has a salary range of $34\.65 \- $44\.00 hourly for job code 572\.3\. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary will be commensurate with the final candidate’s qualifications and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group (if applicable, and union contract agreement).
