Responsibilities

  • Greet visitors and clients warmly at the front desk, creating a positive first impression.
  • Manage multi\-line phone systems, directing calls accurately and courteously to appropriate departments or personnel.
  • Handle incoming inquiries via phone, email, or in person with professionalism and enthusiasm.
  • Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records.
  • Support office management duties including filing, proofreading documents, and organizing files for easy retrieval.
  • Assist with calendar management and appointment scheduling for staff or medical/dental reception as needed.
  • Provide exceptional customer service by addressing concerns promptly, offering solutions, and following up to ensure satisfaction.
  • Support clerical functions such as photocopying, faxing, and maintaining office supplies inventory.
  • Maintain excellent phone etiquette and organizational skills to ensure smooth daily operations.
  • Contribute to a collaborative team environment by supporting colleagues with administrative tasks or special projects.
  • Qualifications

  • Proven experience in office management, clerical work, or customer service roles; prior dental or medical receptionist experience is a plus.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), QuickBooks, and data entry skills.
  • Excellent organizational skills with the ability to multitask efficiently in a busy environment.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Exceptional phone etiquette and communication skills to provide outstanding customer support.
  • Experience with multi\-line phone systems and front desk operations preferred.
  • Demonstrated ability to manage time effectively while handling multiple responsibilities simultaneously.
  • Personal assistant or calendar management experience is advantageous for supporting executive schedules.
  • Knowledge of bookkeeping or basic office accounting practices is beneficial but not required.
