We are seeking a dynamic and highly organized Medical Office Manager to lead the daily operations of our busy medical practice office. This role is vital in ensuring smooth administrative workflows, exceptional customer service, and efficient office management. Responsibilities
- Oversee daily office operations, including managing front desk activities and multi\-line phone systems to ensure seamless communication.
- Providing outstanding customer service and maintaining a positive first impression.
- Manage appointment scheduling, calendar coordination, and meeting arrangements for staff and providers.
- Handle clerical duties such as data entry, filing, proofreading documents, and maintaining accurate records using Microsoft Office and Google Workspace tools.
- Reconcile daily patient ledger including claims and payments
- Maintain office supplies inventory, coordinate vendor relationships, and ensure the office environment is organized and well\-maintained.
- Provide administrative support including typing correspondence, managing email communications, and supporting personal assistant responsibilities as needed.
- Ensure phone etiquette standards are upheld when answering calls on multi\-line systems and provide excellent customer support to clients and visitors.
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks or other bookkeeping software is highly desirable.
- Excellent communication skills in both English and bilingual capabilities preferred to serve diverse client needs.
- Strong clerical skills including data entry, filing, proofreading, and document management.
- Familiarity with multi\-line phone systems and front desk operations.
- Demonstrated ability to prioritize tasks effectively with excellent time management skills.
- Previous experience in customer service or medical/dental receptionist roles is a plus.
- Knowledge of office equipment operation such as printers, scanners, and fax machines.
