About the Role
We are looking for a highly capable Executive Assistant to the CEO who can operate as a right\-hand partner across both business and personal operations.
This is not a traditional assistant role.
This position is for someone who thrives in fast\-paced environments, takes ownership, and brings structure, clarity, and execution to a dynamic and growing business.
You will play a critical role in helping the CEO stay focused, organized, and operating at a high level.
Key Responsibilities
Calendar \& Time Management
- Own and manage CEO’s calendar and scheduling
- Structure days and weeks around key priorities (business, health, family)
- Ensure meetings are prepared, efficient, and aligned
- Track all commitments and action items
- Maintain a centralized task management system (Asana, ClickUp, etc.)
- Organize daily and weekly priorities
- Ensure nothing falls through the cracks
- Assist in building and maintaining KPI dashboards
- Prepare weekly reports (sales, pipeline, project status)
- Organize leadership meetings and agendas
- Track follow\-ups with team members and partners
- Conduct research on:
- Market expansion opportunities
- Investment opportunities (real estate, partnerships)
- Vendors, tools, and systems
- Support business development efforts and pipeline tracking
- Assist with travel planning and scheduling
- Coordinate family logistics and activities
- Research educational resources and programs
- Support projects related to home and property
- Daily check\-ins on priorities
- Weekly planning and review coordination
- Help maintain structure, focus, and momentum
- Highly organized and detail\-oriented
- Proactive and resourceful—you don’t wait to be told what to do
- Strong communicator, confident in following up and managing tasks
- Able to manage multiple priorities without getting overwhelmed
- Comfortable working closely with a high\-performing CEO
- Solutions\-focused with strong problem\-solving ability
- Executive Assistant to a CEO or founder
- OR Operations / Project Coordinator experience
- Experience in fast\-paced or entrepreneurial environments
- Familiarity with tools like Google Workspace, Asana/ClickUp, and CRM systems
