Responsibilities
- Greet visitors warmly, check them in, and direct them appropriately to ensure a professional first impression
- Manage multi\-line phone systems with excellent phone etiquette, screening and directing calls efficiently
- Handle incoming correspondence, emails, and inquiries with promptness and professionalism
- Maintain organized filing systems, data entry records, and ensure accurate documentation using Microsoft Office, Google Workspace, and other office tools
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including proofreading documents, managing office supplies, and supporting administrative projects
- Provide exceptional customer support by addressing inquiries promptly and courteously, ensuring client satisfaction
- Proven office experience or clerical experience with strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with multi\-line phone systems and excellent phone etiquette
- Bilingual abilities are a plus for serving diverse clients and visitors
- Familiarity with office management tasks such as filing, proofreading, calendar management, and time management techniques
- Knowledge of medical or dental receptionist duties is advantageous but not required
- Personal assistant or administrative support experience is beneficial for handling varied responsibilities effectively
