Provides high\-level clerical, administrative, and public relations support to the Communications Department. Assists in coordinating internal and external communications, managing departmental operations, and ensuring timely dissemination of information to staff, families, media, and the community.Essential Duties and ResponsibilitiesAdministrative \& Office Support+ Provide direct secretarial support to the Director of Communications and department staff.
+ Manage calendars, schedule meetings, and coordinate events, press briefings, and district initiatives.
+ Prepare, proofread, and distribute correspondence, reports, presentations, and communication materials.
+ Maintain organized filing systems (digital and hard copy) for communications, media records, and department documents.
+ Process incoming/outgoing mail, emails, and phone calls; respond or route inquiries appropriately.
Communications \& Public Relations Support+ Assist with drafting newsletters, website updates, social media posts, and press releases.
+ Coordinate communication flow between campuses, departments, and external stakeholders.
+ Serve as a point of contact for parents, staff, media representatives, and community members.
+ Support media requests by gathering information and coordinating responses.
+ Help maintain the district's public image by ensuring accurate and timely communication.
Event \& Project Coordination+ Assist in planning and organizing district events, community outreach efforts, and campaigns.
+ Coordinate logistics for meetings, including agendas, minutes, materials, and follow\-ups.
+ Track project timelines and ensure deadlines for communication deliverables are met.
Records, Data \& Compliance+ Maintain records of communications, media contacts, and public information requests.
+ Compile data and reports related to communications efforts and department activities.
+ Ensure confidentiality of sensitive information and compliance with district policies.
Financial \& Operational Support+ Process purchase orders, invoices, and budget\-related documentation.
+ Monitor department supplies, materials, and communication resources.
+ Assist with vendor coordination and service requests.
Customer Service \& Front\-Facing Duties+ Greet visitors and provide assistance in a professional and courteous manner.
+ Respond to inquiries and provide accurate information regarding district communications and events.
+ Maintain strong working relationships with staff, students, parents, and the community.
Other Duties+ Attend meetings, trainings, and district events as required.
+ Provide support for crisis communication efforts when needed.
+ Perform other duties as assigned by the Director of Communications.
Qualifications+ High school diploma or GED (Associate's degree preferred)
+ 2\+ years of secretarial or administrative experience (school district experience preferred)
+ Strong written and verbal communication skills
+ Proficiency in Microsoft Office, Google Workspace, and communication platforms
+ Ability to manage multiple tasks in a fast\-paced environment
+ High level of professionalism, discretion, and confidentiality
