Kahala Nui, considered Hawaii's premier Senior Living Community, is looking for a full time Medical Records Clerk to join our team!
POSITION SUMMARY: The Medical Records Clerk is responsible for maintaining, organizing, and safeguarding all written and electronic resident medical records to ensure information is accurate, complete, and accessible only to authorized personnel in accordance with privacy and regulatory requirements. This role supports efficient documentation practices and the facility’s transition to a paperless environment, while providing ongoing support to maintain and sustain paperless workflows through effective management of electronic health record systems. The Medical Records Clerk also assists with the admissions process by preparing, reviewing, and processing required documentation to help ensure a smooth, timely, and organized intake experience for new residents.
Schedule is Monday \- Friday 8:00am \- 4:30pm/Depending on business needs, this role may require working outside of the stated days and/or standard working hours.
This job is 100% on\-site. Remote or hybrid remote work is not available. This position does not include relocation assistance.

REQUIRED QUALIFICATIONS:
- High School Diploma or equivalent required.
- Minimum of one (1\) year of experience in long\-term care (LTC) medical records or a healthcare setting.
- Knowledge of medical terminology, healthcare documentation standards, and basic coding principles.
- Working knowledge of electronic health record (EHR) systems and standard computer applications.
- Strong attention to detail with a high level of accuracy in data entry and recordkeeping.
- Knowledge of patient confidentiality requirements, including HIPAA regulations.
- Excellent organizational, prioritization, and time management skills.
- Demonstrated ability to handle sensitive information with discretion and professionalism.
- Strong written and verbal communication skills.
- Ability to work independently as well as collaboratively within an interdisciplinary team.
- Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
- Proof of annual tuberculosis (TB) clearance in accordance with state regulations.
- Ability to work flexible schedules, including weekends and holidays, as required.
- Associate degree in Health Information Management, Healthcare Administration, or related field.
- Prior experience in medical records, healthcare administration, or a clinical office setting.
- Experience with medical billing, insurance verification, or healthcare reimbursement processes.
- Professional certification such as Registered Health Information Technician (RHIT) or similar credential.
- Experience managing high\-volume records with demonstrated accuracy and efficiency.
- Ability to quickly adapt to new systems, workflows, and evolving regulatory requirements.
