Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team and keep our daily operations running smoothly. This vital role involves managing administrative tasks, coordinating schedules, overseeing vendor relationships, and supporting team members across various departments. Duties

  • Manage daily office operations, including front desk duties, multi\-line phone systems, and greeting visitors with professionalism and warmth
  • Oversee schedule management for staff calendars, meetings, appointments, and events to optimize productivity
  • Coordinate vendor management activities such as ordering supplies, negotiating contracts, and maintaining strong supplier relationships
  • Support human resources functions including onboarding new employees, maintaining personnel records, and assisting with training \& development initiatives
  • Handle bookkeeping and payroll tasks using QuickBooks or similar accounting software to ensure accurate financial record\-keeping
  • Assist with office budgeting, expense tracking, and filing systems to promote organization and cost control
  • Organize company events, meetings, and team\-building activities that foster collaboration and morale
  • Skills

  • Proven experience in office administration or office management roles with strong clerical skills
  • Excellent communication skills—both verbal and written—with professional phone etiquette
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment
  • Supervising experience in managing teams or coordinating multiple projects simultaneously
  • Proficiency in QuickBooks for bookkeeping and payroll processing; familiarity with budgeting tools is a plus
  • Knowledge of human resources processes including onboarding, training \& development, and employee record management
  • Experience with medical office management or similar specialized environments is advantageous
  • Ability to handle vendor management effectively while maintaining positive relationships
  • Competence in filing systems, calendar management, and handling multi\-line phone systems
