Duties

  • Serve as the first point of contact at the front desk, greeting clients and visitors with professionalism and warmth
  • Manage multi\-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
  • Handle data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping, record\-keeping, and client information management
  • Maintain organized filing systems for client documents, contracts, and correspondence ensuring easy retrieval
  • Support calendar management by scheduling appointments, property showings, and meetings efficiently
  • Assist with administrative tasks such as proofreading documents, preparing reports, and managing correspondence
  • Provide exceptional customer support by addressing inquiries promptly and professionally both in person and over the phone
  • Qualifications

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, QuickBooks, and data entry skills
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment
  • Bilingual abilities are highly preferred to serve diverse clients effectively
  • Experience with clerical duties such as filing, proofreading, and document preparation
  • Knowledge of phone etiquette and customer service best practices
  • Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist roles is a plus
  • Strong time management skills with the ability to prioritize tasks efficiently
