Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
  • Manage multi\-line phone systems, directing calls efficiently and professionally.
  • Handle appointment scheduling, calendar management, and coordinate tours with attention to detail.
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading.
  • Support office management tasks such as inventory control, supply ordering, and basic bookkeeping using several software.
  • Provide exceptional customer support by addressing inquiries via phone or email with professionalism and courtesy.
  • Assist with clerical duties including typing, photocopying, faxing, and managing correspondence using Microsoft Office and Google Workspace tools.
  • Qualifications

  • Proven experience in office reception or administrative roles, preferably in hospitality service
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment.
  • Bilingual abilities a must to serve diverse client needs.
  • Demonstrated phone etiquette skills with experience managing multi\-line phone systems.
  • Prior experience in customer service or customer support roles emphasizing professionalism and patience.
  • Knowledge of clerical tasks such as data entry, filing, proofreading, and calendar management.
  • Personal assistant or office management experience is a plus; familiarity with bookkeeping software like QuickBooks is advantageous.
