Position Summary
NASPL is seeking a detail‑oriented Remote Digital Records Assistant to support the organization’s digital document management, data organization, and information governance processes. This role ensures that NASPL’s digital records are accurate, accessible, secure, and maintained in accordance with internal policies and industry standards.
The ideal candidate is organized, tech‑savvy, and comfortable working independently in a fully remote environment.
Key Responsibilities
- Maintain and update NASPL’s digital records repository, ensuring documents are properly labeled, indexed, and archived.
- Assist with the migration of legacy files into modern digital storage systems.
- Review documents for accuracy, completeness, and compliance with NASPL record‑keeping standards.
- Support staff by retrieving requested documents and providing guidance on file organization protocols.
- Monitor data integrity and report discrepancies or missing information.
- Help implement improvements to digital record workflows and metadata standards.
- Ensure sensitive documents are handled in accordance with confidentiality and security requirements.
- Collaborate with internal teams to support special projects, audits, and information‑sharing initiatives.
- Perform routine administrative tasks related to digital file management.
- High school diploma required; associate degree or higher preferred.
- Experience with digital records management, administrative support, or data entry.
- Strong proficiency with cloud‑based storage platforms (e.g., SharePoint, OneDrive, Google Workspace).
- Excellent attention to detail and organizational skills.
- Ability to work independently, manage deadlines, and prioritize tasks.
- Strong written and verbal communication skills.
- Familiarity with information governance or records retention principles is a plus.
- Experience working in a nonprofit, association, or government‑related environment is beneficial but not required.
- Fully remote position within the U.S. or Canada.
