ABOUT THE ROLE

We are a growing auto repair shop looking for a motivated and organized Admin Assistant to join our team. This is a multi\-faceted role — you will be the backbone of our daily operations, handling everything from customer interactions and parts sourcing to invoicing and service upselling. RESPONSIBILITIES

- Greet clients professionally, answer phones, and manage appointments
- Consult with customers when they bring in their vehicle, explain services, and recommend additional services when appropriate
- Contact multiple wholesale suppliers to source the best prices on auto parts
- Place and track parts orders and follow up on deliveries
- Use AllData and other shop management software for estimates, work orders, and records
- File, scan, and organize documents and invoices — entering all records accurately into the system
- Communicate with insurance companies, vendors, and other businesses on behalf of the shop
- Support technicians with parts lookups and vehicle information
- Maintain a clean, organized front office
- Minimum 1 year of experience working in an auto repair shop
- Hands\-on experience with AllData system is required
- Strong knowledge of car parts, vehicle makes/models, and repair terminology
- Excellent communication and customer service skills
- Ability to multitask and stay organized in a busy shop environment
- Comfortable working with data entry, invoicing software, and office tools (Excel, Google Sheets, email, etc.)
- Fluent in English (written and spoken)
- Bilingual in English and Spanish is a strong plus
